Academic Planning Administrator

DEPT : Professional Doctoral Programs (PDP)
HOURS : 20 Hours Per Week

FT/PT/TEMP : Part-Time, Temporary (POSITION RUNS FROM JULY 15 – NOVEMBER 27, 2024)

EXEMPT STATUS : Non-Exempt

REPORTS TO: Associate Dean, Professional Doctoral Programs

Position Summary

The Academic Planning Administrator acts as a liaison between Faculty and the PDP by managing all academic planning and coordination with Faculty. This position works in support of the direction and leadership of the Associate Dean.

Primary Functions and Responsibilities

Management of Academic Planning by:

  • Coordinating all instructor and faculty contracts
  • Maintaining all adjunct faculty files
    1. Keep vitae, Statement of Faith, hiring and tax documentation updated for each new and returning faculty
    2. Create and manage faculty contracts
    3. Tracking professor approvals and assuring they maintain their adjunct status before each contracted period
  • Manage the program budget and oversee all finances by
    1. Process payment of invoices.
    2. Request payment for all professors, contractors, content readers, and guest lecturers.
    3. Approving faculty reimbursement requests via Concur
  • Preparing agenda, taking minutes, and making necessary arrangements for staff meetings and D.Min. Core Faculty.
  • Attend all staff meetings

Knowledge and Skills Required:

  • Bachelor’s Degree
  • Bookkeeping and accounting skills
  • Type 40 wpm, PC and Mac computer proficiency and word processing skills
  • 4-6 years of administrative experience in a multiple staff office
  • Excellent oral and written communication skills
  • Excellent organizational skills, able to handle fluctuations in work load and frequent interruptions
  • Pleasant and professional phone manner
  • Able to work closely and cooperatively with Associate Dean
  • Familiarity with the educational needs of ministry leaders

Additional Remarks:

  • Must be willing to abide by Fuller Community Standards
  • This position is available for remote work within the United States. Subject to payroll state approval by Fuller Theological Seminary
  • This is a temporary position and expected to last through the end of November 2024.

Pay Scale

  • Salary range the seminary expects to pay: $23 - $25 per hour USD
