Job Summary

This position is responsible for providing administrative support for the operations of the Vice President of Student Engagement and Success and other employees within the Division of Student Engagement & Success.

Responsibilities

  • Provides administrative support for division budgeting functions. (20%)
    • Reviews individual staff budgets with supervisor.
    • Runs, process, and distributes departmental and student activities budgets.
    • Assists with the management of staff budgets.
    • Maintains confidential budget and financial records.
    • Serves as the purchasing contact for the division.

  • Provides administrative support for a variety of division operations. (50%)
    • Answers telephone calls; provides information and assistance; refers to appropriate personnel.
    • Makes appointments and manages calendar for Vice President for Student Engagement and Success.
    • Makes staff travel arrangements.
    • Manages division files, including personnel files.
    • Makes arraignments for meetings and conferences, including gather and compiling data and contacting participants.
    • Coordinates mass and other mail-outs.
    • Collects and disseminates staff meeting minutes.
    • Notifies individuals of meetings with the Vice President.
    • Prepares a variety of correspondence.
    • Assists in updating student worker reference guide.
    • Prepares a variety of regular and special reports.
    • Directs the maintenance of office equipment.

  • Provides management for the reservations process within Student Engagement. (20%)
    • Assists in reservations for the student groups.
    • Maintains the reservation schedule for all reservable rooms within the Student Engagement and Success area.

  • Performs a variety of related duties. (10%)

Required Qualifications

  • Associates degree required.
  • More than two years of related experience required.

Knowledge, Skills, & Abilities

  • Knowledge of modern office practices and procedures.
  • Knowledge of university and departmental policies and procedures.
  • Knowledge of business English, spelling, punctuation and arithmetic.
  • Knowledge of computers and job-related software programs.
  • Skill in prioritizing and organizing work.
  • Skill in the management of files and records.
  • Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
  • Skill in oral and written communication.
