We are a small and closely collaborative team with a big mission and vision to reach Arizona’s most vulnerable children with the magic of Pet Therapy. Volunteers and their pets are the heart of our work with vulnerable children in schools and partner nonprofit organizations. Your primary role, as the Program Coordinator – Southern AZ, will consist of the recruitment, training, orientation, and on-going supervision of volunteers and all their program activities in Southern Arizona as well as building and fostering relationships with nonprofit and school partners where volunteers are placed. In addition, this role will collaboratively build and improve systems, procedures, and policies as programs and volunteer training are being developed. The role will also help to plan and execute volunteer appreciation events and community awareness events. This role involves using your own car for travel. The candidate must be a self-starter who is flexible, team-oriented, and enjoys working in a dynamic growing State-wide organization.

RESPONSIBILITIES and DUTIES

The Program Coordinator – Southern AZ is responsible for the recruitment, training, retention, and on-going supervision of Southern Arizona volunteers and their program activities. This position will also represent Gabriel’s Angels in Southern Arizona by speaking at events and meeting with stakeholders. This position will also contribute to building and improving systems and procedures for volunteer management and data tracking, as well as coordinating volunteer skills building. This position will coordinate volunteer handlers and their therapy dogs from initial contact through training, onboarding, placement at a facility, and ongoing work with vulnerable children. This includes, but is not limited to, conducting orientations of interested volunteers, obtaining required Gabriel’s Angels paperwork, therapy dog registration paperwork and all that is required for the volunteer file in an online volunteer management system, conducting volunteer trainings, and supervising volunteers in trauma-informed program activities.

Volunteer Recruitment:

  • Conduct Information Sessions (in-person and virtually).
  • Assist in the recruitment efforts of new volunteers outside of Information Sessions.
  • Grow Southern Arizona’s network of volunteers.

Volunteer Placement/Training:

  • Train Pet Therapy Teams and Helping Hands to become Gabriel’s Angels volunteers through a thorough process from initial contact through placement at a facility.
  • Conduct a volunteer orientation with each new team. This will include, but is not limited to, going over policies and procedures, discussion of placement, and placement facility information.
  • Provide guided instructional training and ongoing supervision around programs and volunteer work at partner agencies.
  • Coordinator will attend the first visit of a new team or a new facility.

Volunteer Retention/Support/Recognition:

  • Supervise and support 25 volunteer Pet Therapy Teams as they regularly provide Gabriel’s Angels programming throughout the Southern Arizona region.
  • Regular visits and check-ins with each team will be required to ensure volunteer supervision and high-quality programming is being delivered.
  • Lead the planning of a Spring (Formal) and Fall (Informal) Volunteer Event.
  • Support Volunteer Virtual Roundtable discussions that will happen multiple times throughout the year.
  • Coordinate Volunteer meetups that will happen multiple times throughout the year.

Partnership Relationship Building & Maintenance:

  • Work closely in coordination with the Program Coordinator – Partnerships to strategically build collaborative relationships with partner representatives at schools, school districts, & nonprofit organizations in Southern Arizona.

Other Administrative Responsibilities:

  • Work in close collaboration with a small team of Program Coordinator peers with sometimes overlapping responsibilities.
  • Build and improve volunteer management systems, policies, and procedures.
  • Track and contribute data to program measurement and impact reports.
  • Attend weekly virtual Programs Department meetings.
  • Attend weekly virtual staff meetings.
  • Contribute ideas, information, and articles to the volunteer newsletter (sent every two months).
  • Assist with community speaking engagements promoting the program.
  • Attend community engagement events promoting the organization.
  • Coordinator will make certain all volunteer files are up to date and accurate.
  • Coordinator will assist in any other Gabriel’s Angels events and donor meetings as needed.
  • Collaborate with Pet Therapy registration and evaluator organizations for education and communication.
  • Monthly reports will be prepared for the Programs’ Report for staff and Board.

QUALIFICATIONS:

  • Experience in volunteer management strongly preferred.
  • Experience in a teaching and/or counseling environment desired.
  • Experience in using pets for service/therapy and/or understanding of animal behavior.
  • Bachelor's degree preferred.
  • Valid Level One IVP Fingerprint Clearance card or ability to obtain one.
  • Able to lift to 50 lbs. 
  • Ability to work evening & weekend hours as occasionally required. 
  • Proficiency with database management (Volgistics) and Microsoft Office programs.

Valid driver's license, auto insurance and ability to frequently travel within Southern Arizona, and up to Phoenix for regular training & team meetings.

Remote Work Environment: Currently Gabriel’s Angels is operating with a hybrid of remote and in-office work. This position will be primarily remote. In-office/in-person presence at the Phoenix, AZ office is required as needed a minimum of 1 day a month. Frequent in-person presence is required throughout Southern AZ accompanying volunteers on visits at schools and partners. This position includes some evenings and weekends.
