This professional position entails a range of administrative and fiscal responsibilities. It is responsible for office management, including the maintenance of an efficient filing system. It is also responsible for preparing all outgoing correspondence and financial data essential for the effective management of daily operations, general administration, grant programs, and projects.

ESSENTIAL FUNCTIONS:

Provides comprehensive administrative support. Performs a wide range of duties including clerical tasks, programmatic support, financial record keeping, and report generation. Attends meetings, compiling agendas, taking minutes, and completing necessary follow-up tasks. Answers incoming calls and routes them accordingly. Maintains office supplies, forms, files, and folders for efficient operations. Schedules appointments and meetings as required for programs and supervisors. Completes standard County forms such as accounts payables, travel requisitions, timesheets, and purchase orders. Reviews documents for completeness and accuracy before processing. Composes routine replies to correspondence following department and county procedures.

KNOWLEDGE, SKILLS AND ABILITIES:

Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and Access. Knowledgeable in modern office practices and procedures. Ability to prepare routine documents, compose business letters, and memos. Skilled in business English, spelling, punctuation, and basic mathematics. Capable of creating and maintaining databases and electronic client records. Can read and interpret correspondence and reply promptly and accurately. Provide exceptional customer service to both internal and external clients. Ability to interact with staff and the general public with congeniality and tact. Capable of making minor decisions to relieve the schedules of supervisors. Works independently without direct supervision, even under stressful conditions.

MINIMUM QUALIFICATIONS:

Completion of high school from an accredited institution or attainment of a GED, along with a minimum of three (3) years of relevant clerical or secretarial experience. Alternatively, two (2) years of post-high school education may be substituted for two (2) years of the required work experience. Preference will be given to candidates with fiscal or clerical accounting experience. Demonstrated skills and abilities may be required as part of the application process.
