This is an administrative position assisting the Building Inspection Department in the performance of a variety of administrative duties. The employee in this position assists in administering various departmental programs. Duties are performed under general supervision, with review made to ensure that work is being performed in accordance with prescribed policies, procedures and common office practices. This position provides administrative, clerical, receptionist and technical support to the Building Inspections and Code Enforcement Department.
ESSENTIAL FUNCTIONS:
Answers incoming calls for the Building Inspection and Code Enforcement Departments with emphasis on providing exceptional customer service. Receives and greets the public. Ensures that all complaints and/or work is processed in an appropriate manner, with emphasis on courtesy to all constituents. Setup and maintain files for the Building Inspection and Code Enforcement Departments. Maintain computer input for the permitting process using permitting software program. Intake and issue building permits. Must evaluate each permit to ensure that all permit information submitted is correct: applicant's address, parcel identification number, contractor's license and insurance is current. Maintain, issue, and renew contractors' license in the system. Take necessary information for code enforcement issues and direct it to the appropriate staff. Process daily mail for the Building Inspection and Code Enforcement Departments.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge and ability to use a personal computer for processing and generating permits, letters, reports, contractor’s license and other general data. Knowledge of Microsoft Word, Excel, Access, Outlook, Internet Explorer, Blue Vista and Energov computer software. Ability to follow written and oral instructions. Must have the ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Must have the ability to deal with problems involving several concrete variables in standardized situations. Must have the ability to deal with the public and public problems in a calm and professional manner.
MINIMUM QUALIFICATIONS:
Possession of a high school diploma from an accredited high school and two (2) years of general clerical experience. Must obtain a Permits Clerk Certificate within six months of hire. A combination of education and technical training may substitute for the required experience. Must be or become a Notary Public within six months of hire.
