GATE PRECAST is Hiring a PROJECT ADMINISTRATOR Near Monroeville, AL

Job Title: Project Administrator
Reports to: Office Manager/Controller
Department: Administration
Schedule: Monday-Friday (Flexibility is required)
Job Summary:
The Project Administrator facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. In addition, the Project Administrator will be trained to backup other staff positions as needed. Also, the Project Administrator will coordinate office activities and operations as requested by the Office Manager/Controller.
Responsibilities:
  • Assisting colleagues with administrative tasks
  • Closeout document submittals with PM’s
  • Payroll backup.
  • Weekly Timesheet data entry
  • Help in any event planning.
  • OCIP & CCIP enrolment tracking and logging
  • Order Payment and Performance Bonds
  • Tracking & Filing bond claims
  • Ordering Notice to Owner
  • Manage COI for Engineering, erectors, patchers, Vendors & suppliers
  • Manage COI for trade contractors and plant agreements
  • Issue work orders to erectors, caulkers and patchers
  • Maintain ASI, new contract drawing log as received for tracking of pricing
  • Organize and prepare LEED Submittals
  • Work with PM to prepare Project letters
  • Prepare close out document submittals
  • Assist PM’s with Daily reports from subcontractors
  • Scanning documents into Databases (Dayforce, etc.)
  • Onboarding backup for new employees in Dayforce
  • Temporary labor-Peoplemark, CMS, and Prime-create spreadsheet from Dayforce, send to sub, then process for A/P
  • DOT data processing & logging
  • Backup for receptionist & ticket printing
  • QC Data entry (keep track of calibration reports and expirations)
  • Assist with Daily pour records and sheets
  • Assist with 30,60,90 day review backup data
  • Keep CV up to date for projects: entering project info, GC, addresses contacts
  • Print CV reports when requested by PM
  • Access Project Procore app information, log, distribute to others as requested by PM
  • Assist PM with tracking tool for field hardware schedules, fabrication, and delivery status
  • Maintain ASI, new contract drawing log as received for tracking of pricing
Required Skills and Abilities:
  • Consistent, Professional dress, and manner.
  • Excellent written and verbal communication skills.
  • Competency in Microsoft applications including word, excel and powerpoint
  • Good Time Management skills.
  • Experience with administrative and clerical procedures.
  • Able to Receive and maintain files of daily reports from subcontractors.
Physical Requirements:
  • Must be able to sit and stand for prolonged periods of time
  • Must be able to be on the computer for prolonged periods of time
  • Must be able to lift up to 25lbs
  • Must be able to bend, stand, and kneel.
