Gensler is Hiring a Design Center Assistant Near New York, NY

Your Role

The Design Center Assistant is a vital support to the Design Center, designers, and the overall sustainability goals of Gensler's New York office.

The Assistant will regularly process design sample returns to streamline materials leaving the office. They will collaborate with design teams on the organization and processing of materials, ensuring pick-ups are conducted in a timely manner from the Materials Hub and throughout the office.

What You Will Do

  • Manage large quantities of design samples, ensuring that they are accessible to project designers, are properly stored when active and coordinating the returns as any materials become unneeded.
  • Maintain the integrity and overall aesthetic of the office as it pertains to active and inactive samples.
  • Monitor the stock and access of return materials (e.g., vendor bags, pre-labeled boxes, etc.) and ordering of supplies to execute returns and/or donations.
  • Process, pack, and ship out all vendor samples following Design Center Leadership guidance.
  • Based on guidance, determine which samples will be returned to vendors, held in the materials hub, or recycled.
  • Coordinate sample pick up with vendors and follow up on scheduling as needed.
  • Develop and maintain records for inventory, returns and parcel shipping.
  • Act as a key resource and point of contact regarding design materials across the office.
  • Collaborate with office services and studios to ensure sustainable practices and sample processing are maintained during studio moves and restack.
  • Ensure that sustainability practices are implemented to reduce the amount of waste produced, while managing over an inventory of samples to reduce excess items from being delivered into the office each day.
  • Maintain an orderly and functional Materials Hub, refiling master material sets and other library specific items to support tidy and organized resource centers.
  • Tracks trends in sample orders with the goal being to develop a functional library of commonly ordered samples.
  • Coordinate transport of challenging items including bulky, large and/or heavy items (ex: stone tiles or furniture) based upon vendor preference.
  • Pack returns utilizing FedEx and coordinating with Gensler mailroom for general supplies in addition to vendor supplies.
  • Maintain and update vendor directory on-line system.
  • Assist Design Center Leads with other related duties as assigned.

Your Qualifications

  • Have a passion for learning and cultivating relationships.
  • Positive and welcoming demeanor. Ability to be a team player.
  • Takes initiative, able to multitask and follow responsibilities to completion.
  • Front facing, ability to quickly develop rapport with external vendors and internal team members.
  • One-year previous office environment work experience preferred.
  • Computer proficiency with MS office including Word, Excel and Outlook.
  • Must be able to bend, lift and carry large boxes and parcels across the office on a daily basis.
  • Must have the ability to climb a ladder and to reach overhead spaces.
  • Ability to lift and carry up to 25 lbs.
  • Ability to regularly lift and move up to 50 lbs. while utilizing a mail cart or a hand truck

*This is not a remote position. The successful candidate will be expected to live in, or relocate to, the New York Metropolitan area upon acceptance.

**The base salary will be estimated between $60,000 - $70,000 plus bonuses and benefits and contingent on relevant experience.
