Description and Responsibilities

Gentry Locke has an immediate opening for a highly motivated and skilled legal or administrative assistant to join our General Commercial Practice Group. Candidates must have prior experience as a legal or administrative assistant with the ability to work in a fast-paced environment supporting 1-3 attorneys. Prior experience in a commercial, corporate, or real estate practice is strongly preferred, but not required. A successful candidate will be a team player with excellent communication, prioritization, attendance, and organizational skills. The position requires the willingness to be flexible to meet the need of the hour. Subject to experience, there may be opportunities to accept additional responsibility on paralegal tasks. Demonstrated knowledge of Microsoft Office including Outlook, Word, PowerPoint, and Excel is essential. The willingness and ability to learn and expand on current technology skills including versatile cloud apps is required in order to navigate the robust technology package the firm maintains.

 Responsibilities

  1. Establishes and maintains calendar and deadline reminder systems; utilizes master calendar system. Schedules and maintains appointments for attorney(s).
  2. Opens new files, submits conflict of interest checks, and maintains all client and general files. Conducts periodic review for possible storage of older files; partners with file clerk to prepare files for closing.
  3. File documents in Virginia General District Courts and Circuit Courts, as necessary based on practice group.
  4. Responsible for preparing correspondence, including but not limited to, transcribing dictated letters, memos and emails.
  5. Observes confidentiality of attorney-client relationship.
  6. Processes attorney time entry, proofs timesheets, and edits proformas.
  7. Prepare attorney(s) for client meetings, hearings, depositions, etc., as necessary based on attorney(s) and practice group needs.
  8. Develop and maintain relationships with Court personnel.
  9. Screens telephone calls and records messages based on attorney(s) preferences.
  10. Reads, sorts, and dates incoming mail depending on attorney preference. Ensures all outgoing mail is delivered in order to meet the mail deadline.
  11. Partners with administrative support staff to ensure attorney(s) time entry, invoices, vouchers, reimbursements, and all other required documents are submitted in a timely manner.
  12. Receives clients and visitors in a professional manner.
  13. Provides back-up to other legal assistants as time permits and as requested by other attorneys, the Executive Director, or Human Resources.
  14. Reserves appropriate conference rooms for client meetings and communicates with the Office Services department if special requests are needed.
  15. Performs other related duties incidental to the work described herein.

Qualifications


  1. A minimum of two years’ experience as a legal or administrative assistant required.
  2. Must have the ability to transcribe legal documents, correspondence and reports from rough draft or dictation.
  3. Ability to organize and prioritize numerous tasks and complete them under time constraints.
  4. Excellent proofreading skills required.
  5. Requires interpersonal skills necessary to communicate professionally and follow instructions effectively from a diverse group of clients, attorneys, and staff.
  6. The ability to communicate in person, via e-mail, and telephone to provide information with ordinary courtesy and tact.
  7. Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
  8. Ability to operate standard office equipment.
  9. Must be proficient with Microsoft Office and have the willingness to learn and expand technology skills.
