Job Title: Project Accounting Specialist

Summary/Objective:

The Project Accounting Specialist is dedicated to supporting project managers in the billing processes, client communication, and documentation management and is committed to ensuring accuracy, efficiency, and timely completion of tasks to contribute to project success positively.

Essential Job Functions:

• Assist with the monthly billing, including uploading invoices into the third-party billing system and preparing lien releases and pay apps.
• Create and monitor client billing requirements once the process has been finalized.
• Organize and track Final Bill Voids to ensure that billable items are appropriately re-billed.
• Review incoming emails during the billing process to address issues that might delay payment of invoices.
• Process, rename, and file lien releases after they have been sent to clients.
• Support the Project Account Manager in reviewing current documentation or creating documentation for all processes related to projects.
• Review projects for percent complete to update the accounting records
• Coordinate with insurance agent for all new certificate of insurance request and make sure that they get completed and sent back to client or requestor.
• Perform additional duties as assigned by the Project Account Manager and Controller as needed.

• Strong organizational skills with the ability to multitask and prioritize workload.
• Ability to work independently with minimal supervision once fully trained on assigned tasks.
• Great work ethic and willingness to learn.
• Readiness to jump in and complete tasks related to projects and billing.
• Working knowledge of Microsoft Office, primarily Outlook, Word, & Excel, and Adobe Pro.
• Excellent written and verbal communication skills.
• Willingness to ask questions if tasks are unclear.

Physical Demands and Work Environment:

• Regularly engage in sitting, standing, or walking activities.
• Occasionally handle lifting, carrying, pushing, or pulling items of varying weights.
• Perform reaching, kneeling, crouching, bending, or twisting motions as needed.
• Other physical requirements may arise depending on job tasks.
• Work may be conducted at a desk or workstation situated in confined areas.
• Experience moderate levels of noise indoors or outdoors.
• Flexibility to work overtime and occasional weekends as required.
• Ability to thrive in both team-oriented settings and independently, demonstrating self-motivation and initiative.
• Some travel may be required.
