Koniag IT Services, a trusted provider of professional services, is looking to hire multiple Administrative Assistants to support the Office of Refugee Resettlement (ORR) in Washington, DC. The Administrative Assistants will play a crucial role in ensuring the smooth operation of various programs within ORR, including the Refugee Program, Unaccompanied Children Program, and ORR operations teams. This position requires a strong focus on communication, organization, and attention to detail. The ideal candidate will have the opportunity to work in a hybrid team environment, combining virtual and in-person interactions, while supporting special projects as needed.
Essential Functions, Responsibilities & Duties may include, but are not limited to:
  • As an Administrative Assistant, you will be responsible for a wide range of administrative tasks to support leadership and management staff at ORR.
  • This includes managing incoming communications, greeting visitors, handling correspondence, preparing reports, organizing files, distributing mail, responding to inquiries, drafting written communications, creating office documents, coordinating maintenance requests, managing office supplies, maintaining databases and filing systems, providing scheduling assistance, and supporting special projects.
  • Your role will involve interacting with internal and external stakeholders in a professional manner and contributing to the overall efficiency of office operations.
Education and Experience:
Required:
  • Associate's degree in a related business discipline or equivalent work experience
  • 3-5 years of related administrative experience
  • Proficiency in Zoom and Microsoft Office tools such as Word, Excel, PowerPoint, Teams, Outlook, and SharePoint
Required Skills and Competencies:
  • Excellent verbal and written communication skills
  • Strong interpersonal skills
  • Detail-oriented with exceptional time management and organization abilities
  • Experience working in a hybrid team environment
  • Ability to interact professionally with senior management and the public
  • The ability to obtain a Public Trust.
Desired Skills and Competencies:
  • Experience with scheduling meetings and coordinating events
  • Proficiency in maintaining databases and filing systems
  • Ability to develop and update office processes for filing systems and organization
  • Familiarity with SharePoint and other office systems
  • Experience providing administrative support for special projects or initiatives
  • Strong problem-solving skills and ability to adapt to evolving priorities and tasks
Working Environment & Conditions

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand, walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress.
The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
