Responsibilities
Pathways Center’s Outpatient Clinics provide services that include, but are not limited to, individual, group, and family education and counseling. Treatment includes comprehensive, coordinated, and defined services that vary in level of intensity. Outpatient services address a variety of needs such as situational stressors, family relations, interpersonal relationships, mental health issues, life span issues, psychiatric illnesses, addictions, and the needs of victims of abuse and/or trauma. The treating clinicians work jointly with the persons served to maximize their functioning and manage the symptoms of their current situation. The program is designed to enhance the strengths of the individual through recognized treatment interventions.
The individual in the Client Services Coordinator position performs a variety of operational support duties to facilitate the program's administrative functions. Responsibilities include but are not limited to the following:
□ Greets clients upon arrival for appointment, assists with the check-in process, requests updates to insurance information or other needed paperwork, collects all information for new clients, collects co-pays/coinsurance amounts due at time of service and notifies clinician that client is ready to be seen for appointment
□ Greets clients and his/her family members as well as other community business partners transporting clients for treatment
□ Assists clients with check-out process once appointment has ended to schedule follow-up appointments, answer any questions, etc.
□ Answers the phone and responds to inquiries regarding referrals to clinic for appointments, requests for information from other healthcare entities, questions from clients regarding appointments, requested paperwork, etc.
□ Maintains a clean and orderly reception and waiting room area
□ As needed, assists Insurance Verification Specialist with verifying insurance coverage for patients/clients
□ Helps clinicians, as needed/requested to obtain prior authorizations from insurance companies for prescribed treatment
□ Provides general operational support to include such tasks as data entry, copying/distributing documents, maintaining record-keeping and filing, etc.
□ In general, communicates with clients/patients, family members, employees, and other individuals to answer questions, disseminate or explain information, and address complaints.
□ Operates office equipment, maintains supplies and/or stock items
This is a high-volume clinic relative to the number of clients seen daily. The person in this role must have the ability to stay focused while performing multiple job duties simultaneously with a positive and professional demeanor.
Minimum Qualifications
High School diploma or GED and one year of experience in clerical and general medical office duties.
Must possess excellent customer service skills, computer skills, time management, and multi-tasking skills
