German Marshall Fund of the United States is Hiring a Program Assistant, GMF North Near Washington, DC

Geostrategy North provides analysis and facilitates convening on geostrategic questions affecting North America and Northern Europe - the Nordic countries, Baltic States, UK, and the Arctic. It also serves to provide policy guidance on defense and security topics closely associated with the region, including resilience, hybrid warfare, and feminist foreign policy.
Job SummaryThe Program Assistant contributes to the GMF North workstream with administrative, logistical, and research support while helping prepare and implement regionally relevant policy programming organized in the United States and northern Europe. The PA facilitates the implementation of the Across America project and security policy convening in GMF’s Washington, DC office, and serves as a critical point of contact for the workstream throughout the organization.
Essential Duties/Responsibilities
  • Provide administrative, logistical, and research support for the GMF North workstream.
  • Assist with the planning and implementation of GMF North’s transatlantic convening and study tours in Europe and North America, including project budget tracking.
  • Assist with travel arrangements for team members and study tour participants.
  • Assist Fellow and Managing Director with budget and financial management, including invoicing, and project deliverable tracking
  • Support event planning and implementation and serve as event Point of Contact (POC) within and outside the organization
  • Perform maintenance, organization, and management of GMF North’s lists of contacts records in GMF’s Microsoft Dynamics database and implement best practices for ensuring data accuracy and integrity. Track and update the team’s funding pipeline in Dynamics.
  • Prepare, send, and manage GMF North event invitations via GMF’s invitation software (Concep).
  • Assist with drafting, editing, and maintaining website content, newsletters, and other external communication.
  • Maintain GMF North’s media log in Dynamics, including tracking relevant TV, radio, and print outputs.
  • Maintain, organize, and update the workstream’s files.
  • Draft, edit, and contribute to memos, reports, grant applications, and other documents.
  • Serve as Geostrategy North’s Point of Contact (POC) for other GMF teams and offices and represent the team at internal and external meetings.
  • Provide assistance with and coordinate intra-workstream and cross-office research projects.
  • Support the Fellow in overseeing and tasking of GMF North interns.
Knowledge And Skills Needed

  • Proficiency with Microsoft Office Suite (Word, Excel, and Outlook) is essential. Experience with Microsoft Dynamics is a plus, but not required.
  • Experience in event management is a plus.
  • Experience in project budget management is a plus.
  • Fluency in English. Second language skills are desirable, but not necessary.
Education: Bachelor’s degree or equivalent required.
Salary: $37,600 - $47,000
