Position DescriptionAs a key member of our team, you will be the voice of our firm, ensuring timely and helpful communication with our clients and acting as the bridge between them and our partners & accountants. You will also be responsible for maintaining data, scheduling, and organizing. Key Responsibilities
Manage and organize digital files and documents
Assist with scheduling and coordinating client virtual meetings and calls
Handle client communications via email and phone
Maintain and update client information in our cloud-based system
Assist with basic bookkeeping and tax preparation tasks
Assist in billing clients and collecting payment
Develop new or improved workflows using various software like Monday.com, TaxDome, and TypeForm
Assist in social media marketing and outreach to prospective clients
Prepare metrics and reports for the partners
Support the team with administrative tasks as needed
This position reports directly to the partners. As a small team, you will have the rare opportunity to truly impact the direction of the company. Providing the highest level of customer service to our clients and keeping their information strictly confidential is essential. This is a full-time, fully remote position, with occasional in-person meetings with the team (expenses paid). Required Qualifications
Proficiency with cloud-based tools and software, specifically the Google suite
Proficiency with Microsoft Excel
Strong organizational and time-management skills
Excellent communication skills, both written and verbal
Exceptional attention to detail
Ability to work independently and as part of a remote team
Can work for any US employer without visa sponsorship for at least two years
Preferred Qualifications
Previous administrative experience is strongly preferred
Familiarity with bookkeeping, accounting, or tax preparation is a bonus but not required
Familiarity with any of the following software is a plus: Gusto, Xero, QBO, Monday.com, TaxDome, Drake, Calendly, Stripe, Toast, Syft, TypeForm
