Key Responsibilities
  • Greet clients and visitors warmly, both over the phone and in person.
  • Coordinate meetings and manage conference room setups, including arranging audio/visual equipment and phone lines.
  • Oversee equipment maintenance by performing preventive checks, handling repair calls, managing inventory, and evaluating new equipment and techniques.
  • Monitor and manage supply inventory, anticipate needs, place orders, and ensure supplies are received.
  • Prepare and format presentations, reports, and other documents with attention to detail.
  • Arrange domestic and international travel, including processing travel requests and expense claims.
  • Maintain accurate records for travel and vacations for both Federal and Contractor staff.
  • Assist with periodic inventory, filing, accounting, and audits of Federal property and equipment.
  • Implement secure document and mail distribution processes and manage disposal following security and recycling procedures.
  • Maintain division records, prepare for visitors, and manage time and attendance information.
  • Provide administrative support as needed, following guidance from assigned officers of the Loan Programs Office.
  • Assist in report preparation and maintenance as required by the Loan Programs Office.
  • Offer backup support to team members as directed by the Project Manager and take on additional tasks as needed.
Requirements
  • U.S. Citizenship is required to obtain a Public Trust clearance.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong verbal and written communication skills in a multimedia environment.
  • Excellent attention to detail and fundamental business writing skills.
  • Ability to quickly learn and adapt to proprietary computer applications.
  • Capable of working independently or as part of a team.
  • Skilled in researching materials and maintaining accuracy.
  • Willingness to learn and understand concepts in various industry segments.
  • Bachelor's Degree or relevant experience in office management and administrative support.
