Job SummaryThe Administrative Assistant is a vital support role for multiple departments, managers, employees, customers, and visitors. This position requires a flexible, positive team player dedicated to efficiently and safely supporting the organization's operations. Key Responsibilities
Welcome and greet visitors, direct them appropriately, and notify staff of their arrival, providing exceptional customer service.
Answer telephone calls, provide information to callers, or route calls to the appropriate personnel.
Maintain a safe and clean reception area by adhering to procedures, rules, and regulations.
Handle incoming and outgoing mail and fax operations, including sorting, distributing, and preparing correspondence.
Support company sales promotion activities, including placing advertisements, producing marketing materials, updating websites and newsletters, and assisting with promotional events like trade shows.
Prepare weekly and monthly sales metrics, maintain sales department statistics and reports, and enter data into databases.
Maintain filing systems, including quotation and closed sales order files.
Make travel arrangements, including hotel and car reservations, and keep track of employees' out-of-office schedules.
Order and maintain office supplies and manage the supply area.
Maintain Break Room Schedules.
Handle Job Shop Sales, enter quotes and orders, and assist salespeople as needed.
Ensure office copiers, printers, and faxes are in proper working order.
Assist the accounting department with miscellaneous duties as assigned.
Contribute to the team effort by accomplishing related tasks as needed.
Perform other duties as assigned, which may be unrelated to the primary role.
Qualifications
Good working knowledge of Microsoft Office, Windows 7 Pro (and higher), proofreading, basic arithmetic, and filing. Adobe Suite working knowledge is preferred.
Basic typing skills (60 wpm) and excellent telephone, interpersonal, verbal, and written communication skills.
High school graduate. Two years of college or technical training in secretarial skills, or equivalent work experience, is preferred.
Work Environment and Expectations
