Job SummaryThe Administrative Assistant is a vital support role for multiple departments, managers, employees, customers, and visitors. This position requires a flexible, positive team player dedicated to efficiently and safely supporting the organization's operations.
Key Responsibilities
  • Welcome and greet visitors, direct them appropriately, and notify staff of their arrival, providing exceptional customer service.
  • Answer telephone calls, provide information to callers, or route calls to the appropriate personnel.
  • Maintain a safe and clean reception area by adhering to procedures, rules, and regulations.
  • Handle incoming and outgoing mail and fax operations, including sorting, distributing, and preparing correspondence.
  • Support company sales promotion activities, including placing advertisements, producing marketing materials, updating websites and newsletters, and assisting with promotional events like trade shows.
  • Prepare weekly and monthly sales metrics, maintain sales department statistics and reports, and enter data into databases.
  • Maintain filing systems, including quotation and closed sales order files.
  • Make travel arrangements, including hotel and car reservations, and keep track of employees' out-of-office schedules.
  • Order and maintain office supplies and manage the supply area.
  • Maintain Break Room Schedules.
  • Handle Job Shop Sales, enter quotes and orders, and assist salespeople as needed.
  • Ensure office copiers, printers, and faxes are in proper working order.
  • Assist the accounting department with miscellaneous duties as assigned.
  • Contribute to the team effort by accomplishing related tasks as needed.
  • Perform other duties as assigned, which may be unrelated to the primary role.
Qualifications
  • Good working knowledge of Microsoft Office, Windows 7 Pro (and higher), proofreading, basic arithmetic, and filing. Adobe Suite working knowledge is preferred.
  • Basic typing skills (60 wpm) and excellent telephone, interpersonal, verbal, and written communication skills.
  • High school graduate. Two years of college or technical training in secretarial skills, or equivalent work experience, is preferred.
Work Environment and Expectations

  • Ability to safely lift, carry, push, or pull objects up to 50 lbs.
  • Ability to walk, stand, and work on feet for the duration of the shift.
  • Ability to climb, balance, stoop, kneel, crouch, reach with hands and arms, grasp, handle, and operate hand/power tools or controls.
