Administrative and Housing Coordinator
We are seeking an experienced and highly organized individual to join our team as an Administrative and Housing Coordinator. This position plays a crucial role in supporting our administrative and housing operations, ensuring seamless coordination across multiple locations.
ResponsibilitiesHousing Management:
  • Oversee housing facilities, including reservations, guest check-in/out procedures, and billing
  • Manage laboratory and equipment reservations, coordinating with project and laboratory managers
  • Plan and supervise housekeeping services for dormitories and rental units
  • Order housing and housekeeping supplies as needed
Administrative And Financial Support
  • Handle day-to-day administrative tasks, such as answering phone calls, maintaining records, and managing written/email communications
  • Process office paperwork and workflows, including purchase orders, petty cash, receipts, budget reports, invoicing, and accounts receivable
  • Prepare monthly financial/accounting reports and assist with travel arrangements and reimbursements
  • Ensure timely renewal of contractor agreements, licenses, and official documents
General Support
  • Serve as the welcoming point of contact for staff and visitors
  • Organize meetings, conferences, workshops, and special events, occasionally traveling to assist
  • Assist the Facilities Manager and Life Support teams with administrative operational needs
  • Manage the gift shop, including merchandise ordering and point-of-sale operations
  • Maintain staff uniform distribution, inventory, and ordering
  • Monitor multiple email inboxes and respond or delegate as needed
  • Collaborate with the Environmental and Occupational Safety Officer to ensure accident/incident reporting and safety training coordination
  • Report maintenance requests to the Facilities team
  • Share facility-wide and staff communications across multiple locations
Qualifications
  • Proficiency in computer applications such as Word, Excel, and accounting software
  • Ability to work independently, prioritize workload, and multitask effectively
  • Excellent interpersonal and collaboration skills, with the ability to work with diverse individuals
  • Strong organizational and scheduling abilities, managing housing, research, and educational usages
  • Knowledge of general accounting principles and related experience
  • Bachelor's degree or equivalent experience preferred
