Job OverviewWe're seeking an exceptional Customer Service Representative to join our dynamic Events team. In this role, you'll be the main point of contact for our valued attendees, delivering outstanding service from pre-event preparations to post-event follow-ups. Your primary responsibility will be to ensure a seamless and memorable experience for all attendees throughout the entire event lifecycle. Key Responsibilities**Quality Assurance:**
Implement and oversee quality assurance procedures to maintain consistent service delivery and adherence to high standards.
Conduct regular evaluations of customer interactions to identify areas for improvement and provide constructive feedback to the team.
Event Registration Management
Utilize event management platforms like Swoogo and Socio for registration setup, customization, and attendee communication.
Monitor registration progress, troubleshoot issues, and provide timely support to attendees as needed.
Customer Support
Provide exceptional customer service by addressing inquiries, troubleshooting issues, and resolving complaints promptly and professionally.
Maintain a thorough understanding of event agendas, schedules, and logistics to provide accurate information and assistance.
Manage the customer service inbox, responding to inquiries, resolving issues, and escalating complex cases as necessary.
Ensure timely and professional communication with customers to address their concerns and inquiries effectively.
Post-Event Sponsor List Management
Coordinate with the marketing and sales teams to compile and distribute accurate post-event sponsor lists.
Sponsor Support
Collect, enter, and distribute customer information for event sponsors, including logos, invitations, and session details.
Work closely with sponsors to ensure proper communication and timelines for all events.
Collaborate with teams across the organization to ensure all deliverables and program components are completed on time.
Utilize project management software and CRM systems to document and communicate client interactions.
Provide exceptional service to sponsors before and during live events.
CPE Certificates
Manage the distribution of Continuing Professional Education (CPE) certificates to attendees.
Ensure compliance with regulatory requirements and timely issuance of certificates after each event.
Qualifications
Previous experience in customer service or event management roles is preferred.
Proficiency in using event management platforms like Swoogo and registration tools like Socio is an advantage.
Strong interpersonal, organizational, and multitasking skills, with keen attention to detail.
Ability to work under pressure and adapt to changing priorities in a fast-paced environment.
Willingness to travel to events (1-2 days each) approximately 6-8 times per year.
Demonstrated interest or experience in leveraging AI technologies to drive innovation, efficiency, and value creation.
Ability to stay updated on industry trends and advancements in AI technology.
Bachelor's degree in Business Administration, Marketing, or a related field is preferred.
