SUMMARY JOB DESCRIPTION:
Manage active calendar of appointments, compose, and prepare correspondence
Arrange detailed travel plans, itineraries and agendas and reconcile corresponding expense reports
Create meeting(s) timelines, prepare and distribute meeting notifications, correspondence, agenda and materials, as well as subsequent action items, updates or changes
Oversee and support all administrative duties in the office and ensure that office is operating smoothly
Assist with office layout planning and office moves, and with partner with IT to ensure IT infrastructure for office space
Attend and take detailed minutes for weekly, quarterly meetings with leadership and Board of Director meetings.
Plan in-house or off-site activities, such as parties, celebrations, and conferences.
Assist with content of corporate newsletters
Collaborate and support the HR Department to include administrative projects, contact lists, employee information, organizational chart updates
Overcome challenges and solve problems as they arise, utilizing your ability to multi-task and thrive in a fast-paced, demanding environment
Manage projects and other special assignments as needed
REQUIREMENTS
Bachelor’s degree in business administration, communications, or related field
5 years Executive Assistant/office management experience in a corporate setting supporting C-level executives.
Must have ability to handle confidential reports and information with discretion.
Must possess excellent organization, follow-up and multi-tasking skills.
Excellent verbal, written and interpersonal communication skills.
Must have strong detail oriented, able to work independently and with coworkers with a positive attitude.
MS Office (proficiency to advanced), SharePoint, Oracle HCM or property management software a plus.
Experience working with 3rd party vendors on general office administrative items
Previous experience in supervision of hourly staff a plus
