SUMMARY:

Reporting to the Director of Human Resources, the Executive Assistant will provide administrative support to the President and Director of Hurma Resources. The Objective of this role is to plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage professional and personal scheduling for President, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Follow up on contacts made by the president to cultivate ongoing relationships.
  • Research and organizing data to represent the senior management
  • Provide administrative support, generating reports, spreadsheet creation, and slide presentations for director of HR and the President
  • Utilize technical tools and software such as Excel spreadsheets, PowerPoint, Outlook, and Teams
  • Coordinate with other Human Resources professionals, assisting in HR duties as needed.
  • Organize team communications and plan events, both internal and off-sit
  • Manage communication with employees by liaising with Human Resources and Managers on various projects and tasks
  • Perform other duties as requested or required.

Experience and Skills:

  • Strong Computer skills including Word, Excel, PowerPoint, and an aptitude for learning new software and systems
  • Demonstrate excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in business, human resources or related field from an accredited institution
  • Four or more years of experience in an administrative role reporting directly to upper management
  • Human Resource experience is a plus but not required

PHYSICAL DEMANDS:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Constantly communicating with others to exchange information.
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.

WORK ENVIRONMENT:

Majority of work is done in a typical office environment with no major sources of discomfort. Essentially a normal controlled working environment with noise levels within acceptable safety limits and acceptable lighting and temperature conditions.

WORK AUTHORIZATION/SECURITY CLEARANCE:

To conform to U.S. Government export control regulations and the Naval Nuclear Propulsion Information restrictions, applicant must be a U.S citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorization from the U.S. Department of State or Department of Commerce.
