POSITION: Executive Assistant/Office Manager
LOCATION: New York, NY (Union Square)
HOURS: 8:30am - 5:30pm with flexibility (IN OFFICE Monday-Friday)
COMPENSATION: $75-85K Bonus Excellent Benefits

Our client, an investment firm that leads early growth investments in digitally powered consumer brands, is seeking an Executive Assistant/Office Manager to join their team. This role will provide full-cycle support (operational and administrative needs including reception) for the team to help the firm function most effectively and efficiently. The successful candidate will have 1-3 years of administrative experience and possess good judgement, be trust trustworthy, and have the ability to maintain confidentiality and discretion. This is a boutique environment of less than 10 people so the appropriate candidate must be comfortable in this setting.
Responsibilities of the Executive Assistant/Office Manager:
-Provide full-cycle to Partners including administrative tasks, projects, and improving workflows
-Coordinate travel arrangements and triage any issues
-Schedule meetings across various time zones, while being able to anticipate and resolve conflicts
-Manage business contacts
-Take and distribute meeting minutes as appropriate
-Manage logistics for company events, offsites, and more
-Maintain day-to-day needs of the office including ordering kitchen supplies, managing subscriptions, scheduling maintenance, etc.
-Proactively aggregate resources (i.e. agendas) prior to meetings
-File and organize documents
-Greet guests at reception and ensure onsite meetings flow smoothly (i.e. ordering lunch, setting up Zooms, etc.)
-Own special initiatives from conception to conclusion
-Occasionally handle personal errands for Founders, team lunches, etc. as necessary
-Champion and enhance team culture by taking initiative to plan and coordinate team events and celebrating team successes
-Ad-hoc projects as needed
Requirements of the Executive Assistant/Office Manager:
-1-3 years of previous experience as an administrative professional in finance/ technology/ events / hospitality / PR fields
-Bachelor’s degree is required
-Prior experience supporting C-level executives
-Proficiency in Microsoft Office Suite as well as Google Apps
-Must possess a high attention to detail
-Must be highly organized and efficient
-Excellent communication skills (verbal and written)
-Strong ability to naturally interact with all clients of all background and levels
-Self-driven and proactive
-Ability to work in fast-paced, entrepreneurial environment with evolving priorities
-Strong sense of urgency
-Verification of identity, education, prior employment, and references may be required
