Position Overview

The Medical Spa Manager will oversee the daily operations of a high-end medical spa, ensuring exceptional customer service, managing staff, maintaining inventory, and optimizing the clinic's financial performance. The manager will work closely with medical professionals, estheticians, and front-desk staff to create a relaxing and results-driven experience for clients. This role combines business management, customer relations, and healthcare coordination to ensure the smooth and successful operation of the spa.

Key Responsibilities

1. Operational Management

  • Oversee Daily Operations: Manage the daily functions of the spa, including scheduling, staff coordination, and facility maintenance.
  • Ensure Compliance: Ensure that all procedures and protocols are followed in compliance with local health and safety regulations and medical standards.
  • Maintain Facility: Oversee the cleanliness, organization, and aesthetics of the spa, always ensuring a luxurious and professional environment.
  • Vendor Management: Coordinate with suppliers and manage relationships to ensure timely delivery of products, negotiate contracts, and maintain inventory levels.

2. Financial Management

  • Budgeting & Forecasting: Manage the spa’s budget, including expense tracking, financial reporting, and profitability analysis. Develop and implement strategies to optimize revenue and reduce costs.
  • Sales & Performance Metrics: Track performance metrics (e.g., client retention, revenue growth) and prepare reports for the leadership team. Develop and implement strategies to achieve financial targets.
  • Product & Service Upselling: Work with the team to promote and upsell treatments, products, and memberships to clients, maximizing revenue potential.

3. Staff Management & Leadership

  • Recruitment & Onboarding: Hire, train, and onboard new staff, ensuring they are knowledgeable about services, treatments, and products.
  • Team Leadership: Lead and motivate the spa team, providing ongoing training, coaching, and professional development to maintain high levels of service and staff morale.
  • Staff Scheduling: Create and manage employee schedules to ensure optimal coverage during peak hours, while maintaining operational efficiency.
  • Performance Management: Conduct regular performance reviews, providing feedback and setting clear goals for staff. Address any performance or behavioral issues proactively.

4. Client Relations & Customer Service

  • Client Satisfaction: Ensure that all clients receive exceptional service from the moment they enter the spa to their post-treatment follow-up. Address any client concerns or complaints promptly and professionally.•

VIP Client Management: Develop and nurture relationships with VIP and high-profile clients, ensuring they receive personalized attention and services.

  • Client Retention: Implement and oversee client loyalty programs, promoting repeat business and long-term client relationships.
  • Event Coordination: Plan and execute promotional events, product launches, and spa-specific client engagement activities.

5. Marketing & Promotion

  • Marketing Strategy: Collaborate with the marketing team to develop and execute marketing campaigns, social media strategies, and promotional offers.
  • Brand Management: Maintain brand standards in all client interactions and visual presentations. Ensure consistency in messaging, promotions, and the overall client experience.
  • Customer Acquisition: Utilize marketing insights to attract new clients and expand the spa’s client base.
  • Community Engagement: Represent the spa in local community events, health fairs, and professional networks to drive awareness and growth.

Qualifications

Education & Experience

  • Bachelor’s degree in Business Administration, Healthcare Management, or related field preferred.
  • 3-5 years of management experience in the spa, medical spa, or healthcare industry.
  • Knowledge of medical-grade skincare treatments and procedures (e.g., Botox, fillers, laser treatments, microneedling, etc.).
  • Experience with spa management software, scheduling platforms, and electronic health record (EHR) systems.

  • Customer Service: Exceptional customer service and interpersonal skills, with a focus on creating a welcoming and client-centric atmosphere.

  • Marketing Savvy: Understanding of social media platforms and marketing strategies to drive client engagement and retention.
  • Organizational Skills: Strong organizational and multitasking abilities to manage various aspects of spa operations effectively.
  • Problem Solving: Ability to handle customer issues and staff challenges with discretion and professionalism.

Working Conditions

  • Must be available to work weekends, evenings, and holidays, depending on the spa’s schedule and business needs.
  • Ability to stand for long periods and occasionally lift light equipment or products.
