EXECUTIVE ASSISTANT - BROOKLYN HEIGHTS, OH (ON-SITE)
JOB SUMMARY
The Executive Assistant will be responsible for providing high-level administrative support to the President and Chief Operating Officer (COO) within the GNCO family of companies. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive and confidential information. The Executive Assistant will play a crucial role in managing the day-to-day operations of GNCO and ensuring seamless communication within the organization.
ESSENTIAL FUNCTIONS
  • Calendar and Schedule Management
    • Efficiently manage the President's and COO’s calendars, schedules, and appointments, ensuring optimal use of their time.
    • Proactively anticipate and prioritize scheduling conflicts, resolving them in a timely manner.
  • Communication and Correspondence
    • Manage incoming and outgoing communication on behalf of the President and COO, including emails, phone calls, and written correspondence.
    • Draft, proofread, and edit various documents, presentations, and reports as required.
  • Travel Arrangements
    • Coordinate all travel arrangements for the President and COO, including flights, accommodation, transportation, and visa requirements.
    • Prepare detailed itineraries and ensure all travel logistics are well organized.
  • Meeting Coordination and Support
    • Schedule, prepare for, and coordinate meetings, conferences, and other executive-level events.
    • Take meeting minutes, distribute agendas, and follow up on action items as necessary.
  • Information Management
    • Maintain and organize confidential files, records, and documents, ensuring easy retrieval and accessibility.
    • Conduct research and gather necessary information to assist the President and COO in decision-making processes
  • Relationship Management:
    • Build and maintain strong working relationships with internal and external stakeholders, including senior executives, clients, and partners.
    • Liaise with other departments and teams to ensure smooth communication and collaboration.
  • Special Projects Support:
    • Provide support on special projects and initiatives, exercising discretion and independent judgment.
    • Conduct research, prepare proposals, and contribute to the successful execution of strategic projects.
  • Performs other duties of a similar nature as required.
POSITION QUALIFICATIONS
EDUCATION
  • High School Diploma or equivalent.
  • Bachelor’s degree in business or related field preferred.
EXPERIENCE
  • At least five years of executive/firm wide administrative experience in a business setting.
  • Excellent knowledge of Microsoft Office, especially Outlook, Excel, and PowerPoint.
ADDITIONAL REQUIREMENTS
  • Proven experience as an executive assistant or in a similar role, preferably supporting C-level executives.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong verbal and written communication skills, with exceptional attention to detail.
  • Proficiency in using various office software and tools, including MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive and confidential information with utmost professionalism and discretion.
  • Strong problem-solving skills and the ability to work well under pressure.
  • Professional and polished demeanor, with the ability to represent the executives and the organization effectively.
