Job Summary

The Accounts Receivable (AR) Cash Specialist is responsible for managing the cash process within the accounts receivable function. This role involves receiving, validating and logging cash & coin currency and check payments. The AR Cash Specialist will be a back-up to accurately apply customer payments, reconcile accounts, and resolve payment discrepancies. The AR Cash Specialist will work closely with the treasury team, bulk and wholesale sales teams, and the AR and finance teams to ensure efficient cash flow management and maintain strong customer relationships. This role is crucial in maintaining the integrity and security of cash assets, ensuring compliance with relevant regulations, and minimizing risks associated with vault operations. 

Pay Range: $68,000 - $70,000


Duties and Responsibilities

Cash Operations:

  • Must understand cash management, verify counterfeit notes and able to use Cash Counters to bundle cash. 
  • Accurately scan checks into their appropriate entity using a Remote Deposit Capture machine, and record transactions into cash log.
  • Monitor and manage daily cash balances related to the company’s vault operations.
  • Use due diligence to understand the company branch location and confirm that deposits are going into the correct bank account. 
  • Maintain accurate records of cash transactions and cash log.
  • Develops and implements procedures for the efficient receipt, verification, storage and deposits of cash.
  • Conduct regular cash count verification and audits. 
  • Collaborates with internal and external stakeholders to conduct periodic risk assessments and implements appropriate controls. 

Banking Relations:

  • Coordinate cash pickups.

Cash Application Back-up:

  • Accurately apply customer payments to open invoices in the accounting system.
  • Process and record daily cash receipts, including checks, wire transfers, and ACH transactions.
  • Ensure timely and accurate posting of cash receipts.

Account Reconciliation:

  • Reconcile customer accounts and research discrepancies.
  • Resolve payment discrepancies and disputes by working with customers and internal departments.
  • Perform monthly account reconciliations to ensure accuracy of AR balances.

Customer Relations:

  • Communicate with customers regarding payment issues and discrepancies.
  • Provide excellent customer service by addressing and resolving customer inquiries promptly.
  • Maintain positive relationships with customers to facilitate smooth cash application processes.

Reporting and Analysis:

  • Prepare daily, weekly, and monthly cash reconciliation reports.
  • Assist in the preparation of AR aging reports and other financial reports as needed.

Process Improvement:

  • Identify and implement process improvements to enhance efficiency and accuracy in cash application.
  • Utilize technology and automation tools to streamline cash application processes.

Compliance and Controls:

  • Ensure compliance with internal controls, policies, and procedures related to cash application.
  • Support audits by providing necessary documentation and explanations.
  • Maintain confidentiality of financial information.
  • E-File 8300 forms via BSA

Collaboration:

  • Work closely with the AR, treasury, and finance teams to support overall financial objectives.
  • Participate in cross-functional projects and initiatives as required.
  • Liaise with external vendors, such as armored car services to ensure effective service delivery. 


Qualifications

  • Bachelor’s degree in a related field with a minimum of 3 years of cash management and AR experience, or an equivalent combination of education and experience.
  • Proficiency in Microsoft Excel or similar.
  • Knowledge in SAP, Microsoft Office and/or Adobe is beneficial.
  • Excellent analytical, problem-solving, and organizational skills.
  • High integrity and openness combined with a commitment to continuous improvement.
  • Strong attention to detail and accuracy.
  • Effective interpersonal and communication skills, both verbal and written.
  • Ability to work independently and as part of a team.

Work Environment

  • Typical office work environment located in an industrial operation. There is no remote component to this role.
  • This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, copiers, cash count machine, filing cabinets and may work in proximity with customers and staff.
  • Requires travel to different dispensaries and locations throughout assigned area, particularly during peak times.

Job Requirements

  • Work revolves around objectives, projects, and priorities, not hours; must be able to work weekends, holidays, and occasional overtime as needed.
  • Must be able to stand, walk, lift, sit, and bend for a majority of their work schedule.
  • Must be able to travel to other office locations.
  • Ability to use computer and calculator for 8 hours or more.
  • Required to have a valid driver's license with acceptable driving history. Must have own transportation.
  • Must be 21 years of age or older.
  • Must comply with all legal or company regulations for working in the industry.
  • Selected candidate will be required to complete a post offer, pre-employment background check with the local law enforcement or local Police Department.
