Job Description

As a Maintenance Scheduling Manager, you will play a crucial role in ensuring the efficient and effective operation of our maintenance services. You will manage the dedicated maintenance staff, coordinate maintenance activities through our online portal, and serve as the primary point of contact for owners and tenants regarding maintenance issues. This role requires a blend of technical knowledge, strong organizational skills, and excellent communication abilities. Some hands on maintenance requirements and on-site job coaching when necessary.

**Team Management:**

- Supervise and manage in house dedicated maintenance staff, ensuring high performance and productivity.

- Schedule and assign maintenance tasks, ensuring timely completion and quality service.

- Provide training and support to maintenance staff, fostering a collaborative and efficient work environment.

-Track, Maintain and report all hours worked and payroll to accounting

-Team Building

**Maintenance Coordination:**

- Oversee the online maintenance portal, ensuring all requests are logged, tracked, addressed and billed promptly.

- Utilize and program artificial intelligence tools for troubleshooting and diagnosing maintenance issues reported by tenants.

- Implement and manage a preventative maintenance program to minimize unexpected repairs and extend the life of property assets.

-Network with local community contractors and agencies to expand our connections.

  • Update/maintain & train tenants and vendors on the use of work order database and enforce the use of database.
  • Update/maintain key log for GPM managed properties.
  • Self-perform all maintenance issues that can be performed in house, reducing and limiting dependence on outside vendors
  • Manage vendor relationships on projects that do require the use of an outside vendor
  • Set and oversee preventative maintenance procedures
  • Monitor and maintain levels of all parts, paints, tools and supplies needed for GPM and inventory
  • Be available for weekend and on-call hours to handle after-hours service requests
  • Participate in and manage monthly property inspection walk-throughs and punch list walk-throughs
  • Work with management/accounting staff to integrate work orders and invoices; allocate invoices to correct building, landlord or tenant
  • Other duties as assigned

**Communication:**

- Serve as the primary point of contact for property owners and tenants regarding maintenance issues and updates.

- Communicate effectively with team, providing clear and timely updates on the status of maintenance requests.

- Handle emergency maintenance requests and coordinate with relevant parties to resolve issues quickly and efficiently.

**Administrative Duties:**

- Maintain accurate records of maintenance activities, including work orders, inventory, timesheets and expenses.

- Generate regular reports on maintenance performance and identify areas for improvement.

- Ensure compliance with safety regulations and company policies.

**Technical Knowledge:**

- Possess a strong understanding of general maintenance practices and procedures.

- Stay updated on industry trends and advancements in maintenance technology.

**Qualifications:**

- Proven experience in a maintenance management or similar role, preferably in property management.

-Experience with people management

- Strong organizational skills with the ability to prioritize and manage multiple tasks and projects simultaneously.

- Excellent communication skills, both written and verbal

- Tech-savvy, with experience using online maintenance portals, databases and other relevant software.

- Knowledgeable about general maintenance procedures and practices.

- Flexible schedule, with the ability to work nights and weekends as needed, on call.

- Emotionally intelligent, with the ability to handle stressful situations and make sound decisions.

- Strong problem-solving skills and attention to detail.

  • Excellent oral and written communication abilities
