Goulston & Storrs is Hiring a Family Office Operations Administrator Near Boston, MA

As a member of the Private Client and Trust Group’s Fiduciary & Family Office Services team, the Operations Administrator will serve as an active participant in ensuring the fluidity of the investment administration process and assist with all aspects of ongoing administration of family office-type relationships.

Primary Responsibilities:

This position involves working closely and effectively with members of the firm’s Fiduciary & Family Office and Trust Operations teams, ultra-high net worth clients as well as their tax and investment professionals by:

  • Establishing, linking and maintaining alternative investment related sub-accounts, assets and recurring transaction templates;
  • Actively manage private investment notifications via Arch platform;
  • Processing capital call payments and distribution receipts;
  • Coordinating the distribution of financial statements and tax notices;
  • Periodically updating private equity and hedge fund values;
  • Providing support and absence coverage for team members as necessary, to include:

-Communicating with, and responding to various requests from, attorneys, tax and investment professionals and ultra-high net worth clients;

-Processing wire transfers, various other payments and account transactions;

  • All other duties as assigned or required.

Qualifications:

  • Bachelor’s Degree
  • 1-3 years of experience working within a family office, trust department or investment firm; operations, hedge fund or private equity experience a plus
  • Experience working with trust accounting system or investment management and reporting software as well as proficiency in Excel or equivalent applications
  • Demonstrated interpersonal skills with customer service focus, ability to build relationships, communicate and collaborate effectively
  • Excellent verbal and written communication skills
  • Must possess strong organization skills, effectively manage numerous requests and multiple projects simultaneously while paying close attention to detail, prioritizing workload and retaining important pertinent information
  • Ability to follow established procedures and ensure high quality completion of both internal and external client requests
  • Demonstrated ability to handle complex, sensitive and confidential material with good judgment maturity and an optimistic outlook, even in high stress situations
  • Capable of working both independently and as part of a team
  • Strong ownership drive, proactive and deadline driven
  • Ability to troubleshoot problems and implement solutions in a fast-paced environment
  • Excellent analytical skills to identify and escalate opportunities for process improvement
