Great Expectations is Hiring an Administrative Assistant Near Glenwood, CO

GREAT EXPECTATIONS (formerly Family Visitor Programs) is a nonprofit organization based in Glenwood Springs, Colorado. We provide guidance and support for new and expectant parents in Garfield, Pitkin, and western Eagle counties, helping families navigate the critical period between pregnancy and preschool. Our family visitors teach parents about child development; promote positive infant-parent relationships; enhance children’s social, emotional, and cognitive development; support parents in setting and reaching goals; help parents bond and attach with their babies; and connect families with community resources.

The PROGRAM ASSISTANT is responsible for providing administrative support to the Nurse Family Partnership Program, managing data, and managing referrals.This position is for 24 hours a week until July 1,2024 at which point it will increase to 30 hours per week.

GENERAL RESPONSIBILITIES

  • Manage referrals in multiple databases and update referral partners on outcome of referrals
  • Verify Medicaid eligibility for billing purposes
  • Secure Medicaid provider status for staff
  • Use reports to prepare for reflective supervision
  • Utilizes computerized data entry equipment and various word processing, spreadsheet and file maintenance programs to enter, store, and retrieve information as requested or otherwise necessary, and summarizes data in preparation of standardized reports.
  • Attend the weekly Nurse Family Partnership team meeting and take minutes
  • Inputs data in a timely and accurate manner into the web-based information system; complies with or assists in the compilation of statistical information for reports
  • Attend monthly data calls with the state of Colorado
  • Meet with the visitors monthly to review forms that are late or missing
  • Send new clients welcome letters when they enroll in Nurse-Family Partnership
  • Performs program support tasks such as organizing forms; photocopies; files; orders and maintains program materials and educational handouts; makes reminder calls for visits as requested.
  • Performs general clerical functions such as sort, route and distribute mail, type materials from typed or handwritten notes, prepare correspondence, reports, and other documents.
  • Utilizes computerized data entry equipment and various word processing programs to enter, store and retrieve information as requested and necessary, and summarizes data in preparation for standardized reports.
  • Become familiar with the Data entry manual and train new staff on how to correctly answer forms-use this manual to ensure that forms are being entered correctly into web-based system
  • Coordinate incoming and outgoing transfers to and from other Nurse-Family Partnership sites and corresponding paperwork
  • QUALIFICATIONS REQUIRED
  • Graduation from high school and one to two years of progressively responsible related experience, or an equivalent combination of training and experience that provides the required skills, knowledge, and abilities.
  • Computer database (Excel or Access) proficiency
  • Strong writing skills
