Position Summary

This position is an outstanding opportunity for a highly motivated executive assistant to assume a pivotal role in the evolution of a fast-growing, highly respected education organization. Reporting to the President, the Executive Assistant and Office Manager (EA/OM) is responsible for providing comprehensive support to the President and managing the organization’s office operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The ideal candidate is highly self-motivated and capable of managing their workload and prioritizing tasks in a fast-paced nonprofit environment.

Essential Duties and Responsibilities

  • Manage internal and external communication, including email, messaging, and correspondence. This can include organizing and filtering emails, flagging action items, and holding people accountable to priorities.
  • Provide sophisticated calendar management for the executive team, prioritizing inquiries and troubleshooting conflicts.
  • Create agendas, provide reminders, and track follow-up items for meetings and check-ins. This can also include coordinating logistics and preparing meeting materials for board meetings.
  • Provide support for event management. Coordinate event logistics for internal and external meetings, such as location reservations, catering, supplies, agenda support, AV, etc.
  • Support the President’s cultivation and stewardship of donors, including but not limited to drafting regular correspondence and emails and planning donor events and meetings.
  • Manage constituent database, maintain the highest standards of data integrity for all records, and serve as a co-lead operator of the system, including its infrastructure, data entry systems, and reporting.
  • Oversee day-to-day responsibilities to provide high-level operational and administrative support, such as working independently on complex projects, clerical tasks, and non-routine assignments.

Qualifications

Education and Experience:

  • Bachelor’s degree in a related field is preferred; additional years of direct experience may substitute for education.
  • Five to seven years of administrative experience, preferably in nonprofit or development-related work.
  • Significant executive support experience, including C-level executives.

Knowledge and Abilities:

  • Excellent organizational skills and attention to detail. Ability to prioritize work effectively and adjust to multiple demands, with consistent attention to timelines. 
  • Ability to anticipate issues, problem-solve, and manage solutions in real time with creativity and tact. Work both collaboratively and independently.
  • Internet competency and strong computer proficiency, including mastery of CRM software (i.e., Salesforce, Raiser’s Edge, etc.), the Microsoft Office software suite, and social media platforms (i.e., Facebook, Twitter, Instagram, and LinkedIn).

Communications Skills:

  • Excellent interpersonal skills, strong writing and editing skills.
  • High degree of professionalism in dealing with diverse groups of people, senior executives, staff, community leaders, donors, and other partners.

Teamwork and General Skills

  • Ability to work well within a cross-functional team environment and diverse communities.
  • Passionate, enthusiastic team player with good judgment and an ability to work in a fast-paced environment and adapt quickly to changing needs and priorities.

Working Conditions

  • Requires the ability to sit and work at a desk for several hours at a time. 
  • Requires the ability to travel and attend meetings, presentations, and events outside the office, which may require occasional use of a motor vehicle for transportation to other locations.
  • Work may require occasional weekends and/or extended workdays. 
  • Punctuality and satisfactory attendance are essential functions of the job.

Compensation

This full-time position has a generous benefits package, including matching retirement contributions. Salary is commensurate with experience.
