Greater Minneapolis Crisis Nursery is Hiring an Accounting and IT Coordinator Near Minneapolis, MN

Department: Finance & Operations
Reports to: Director of Finance & Operations
Hours: Non-Exempt;20-30 hours week
Salary Range: $28.50 - $35.00/hour
Position Overview:
Under the direction of the Director of Finance and Operations, the role of the Accounting and IT Coordinator is to provide comprehensive support in the areas of accounting and finance; as well as general IT support by acting as the Nursery’s primary point of contact between the Nursery and contracted services. This role also supports other areas within the department related to overall support in operations.


Primary Responsibilities, but not limited to:

Accounting (50%)
  • Handle all aspects of Accounts Payable and Accounts Receivable
  • Import all revenue entries exported from the Development database, reconciling all information with available documentation and ensuring accuracy.
  • Maintains all supporting documentation for revenue entries.
  • Prepares allocation reports for monthly expenses including mobile phone account and office supplies.
  • Creates journal entries for in-kind supply and in-kind professional labor expenses.
  • Completes monthly bank account reconciliation.
  • Prepares and submits monthly billing for reimbursements under all service-based contracts.
  • Assists with tracking expenses tied to grants as needed.
  • Communicates with grantors in relation to billing and annual budget requests.
  • Provides support during the Annual Audit relative to A/P and A/R.
  • Completes Month End reporting.

Information Technology
(30%)
  • Sets up and maintains user profiles.
  • Trains new hires with technology at on-boarding.
  • Prepares reference material for users by drafting operation instructions.
  • Updates Groups for Outlook email as needed.
  • Sets up and manages key card and key assignments.
  • Manages contracts/purchases of new devices & office equipment (phones, laptops, printers, software & computer accessories)
  • Oversees device assignments (e.g. phone, laptop) and any associated service costs.
  • Provides daily support for server issues, internet issues, network printers, telephone systems, cell phones and general support for troubleshooting any issues related to hardware operability.
  • Serves as primary contact for IT Contractor and internal staff.
  • Manages the technology infrastructure and business operations; provides vision, critical analysis and evaluation of information systems.
  • Works with department lead to maintain dashboard for board portal.

Operations (20%)
  • Monitor the agency’s maintenance email, ensuring all reported items are responded to for follow-up steps.
  • Responsible for contacting and setting up service calls for repairs as needed.
  • Coordinates communication to all staff and provides progress reports about various building projects and concerns.
  • Process license renewals: Elevator, Department of Health, DHS, Pollution Control.
  • Oversee annual renewals for various facilities contracts.
  • Serve as point person for all building inspections, including fire, elevator, and health department.
  • Conduct monthly fire drill.

Other
  • Assist Director of Finance & Operations with other projects as requested.

Qualifications:

Education/Work Experience:
  • Bachelor’s Degree or equivalent experience, including demonstrated experience working in an office or non-profit environment.
  • Experience with non-profit and fund accounting.
  • Experience with Microsoft Office.
  • Experience with accounting software, Sage, Abila, and or Razor’s Edge preferred.
