IntroductionThe SE Portfolio Management Office (SEPMO) is a trusted and collaborative partner, leading best practice in the management of the portfolio, supporting project prioritisation and delivery. We provide an integrated approach, manage interdependencies and provide analysis and reporting, working in close harmony with the corporate Enterprise Portfolio Management Office (EPMO).
The team is central to the success of a large portfolio of infrastructure and maintenance projects, directly linked to supporting a thriving parliamentary democracy.
With so many change initiatives happening within Strategic Estates, the change and engagement team in PMO is there to ensure the views and voices of our customers are considered in project delivery.
The RoleThe Portfolio Coordinator will work as part of the SEPMO team to coordinate and support portfolio management activities, to maintain, improve and assure definition, delivery and resourcing of the core portfolio ensuring that the business realises its strategic ambitions.
You will coordinate and support key functions as such as the change control process, holding account and project start up, data gathering, analysis and reporting including maintenance of digital tools. The Strategic Estates portfolio consists of varied scale of around 100-150 construction and refurbishment projects and programmes: maintenance, property, accommodation, workspace projects and feasibility studies.
Some of the responsibilities for this role include:
  • Support and coordinate portfolio definition which includes the Medium-Term Investment Plan (MTIP) and delivery cycles including commercial aspects.
  • Engage with Project Delivery and other teams to gather and collate information, resolve inconsistencies, and ensure standards are applied, thereby ensuring credibility of reports and supporting projects' Level 1 assurance responsibilities.
  • Coordinate and provide management controls such as risk management, change control and share information gathered across the portfolio with relevant parties to assist them in their day-to-day duties, serving as a conduit for both the IHSE core portfolio and its constituent programmes, projects & initiatives.
Skills And ExperienceQualification:
  • A certification of at least Foundation level in at least one recognized portfolio/programme/project management method e.g., P3O, Management of Portfolios (MoP), Management of Successful Programmes (MSP), PRINCE2, APM, Agile etc.
To be successful in this role you will demonstrate:
  • Proven understanding of service delivery in a complex and challenging project and/or programme management environment.
  • Experience of delivery through others who don't report directly to the post-holder, by employing a range of influencing strategies.
  • Experience of using project/programme management and workflow tools and the ability to gather, collate, and analyse information to tell a story.
  • Good written and oral communication skills with the ability to explain complex issues clearly and concisely, to a broad range of people at different levels (primarily Project Leaders, many of whom would be more senior than the post holder).
  • Ability to deliver excellent customer service using different channels - face to face, email, virtual and digital channels
  • Ability to work collaboratively within a team and diverse customer groups upholding the values of equality, diversity and inclusion.
  • Highly organised and be able to work under pressure, prioritising and sequencing tasks and planning ahead to ensure deadlines are met.
