Position SummaryGuggenheim Investments is seeking a professional and proactive Facilities Administrator to support Guggenheim Investments Office Administration team. Essential Job Functions
Daily maintenance of the facility and reporting/resolving facilities related issues or requests
Maintenance of floor plans and assistance with space planning using Evolve
Coordination and scheduling of employee workstation moves with the IT Helpdesk
Serve as a liaison with building management and the Director of Administrative Services
Scheduling, coordination and supervision of vendor work with the Building including the day porter service.
Assist with the set-up and breakdown of internal and external events
Assist with building IDs, guest badges and registration with building security, as well as enforces all necessary company security measures
Process and track relevant facilities invoices and monitor spend
Assist with facilities projects including build-outs, demises, and reconfigurations of internal space
Implement and socialize new facilities procedures
Assist in the response of any facilities related issues like power outages, leaks, HVAC issues, etc.
Plan, coordinate, and facilitate safety and evacuation meetings and drills as required
Develop, distribute, and maintain emergency communication protocols and documentation, which may include emergency contact trees, emergency response hierarchy, and other records. Onsite management in the event of an emergency or power failure.
Order, stock and maintain all pantry snacks, beverages, machines, and storage closets
Maintain office and copy room supplies including binding supplies and toner
Assist with facilities projects, maintenance contracts, and space planning
Assist in the response of any facilities related issues like power outages, leaks, HVAC issues, etc
Set-up and clean up beverage and catering service in conference rooms
Print and bind client presentations as needed
Assist with onsite or offsite Events as assigned
Run errands for Managing Partners as requested
Coordinate with IT on necessary maintenance and office or conference room projects
Preferred Qualifications
2 years of relevant experience
Bachelors Degree
Basic Qualifications
Ability to effectively communicate and collaborate with diverse personalities in all levels of management, as well as outside vendors and clients, by maintaining objectivity and demonstrating maturity
Ability to be successful in a deadline driven environment while still maintaining strict attention to detail and proper prioritization.
In-office 5 days a week
Must be available for overtime and weekends as necessary
Must be able to perform physical tasks that include but are not limited to lifting up to 20 pounds, ascending a latter, furniture moving, painting, etc.
Salary Details Annual base salary between $65,000 to $85,000. The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
