Position Summary
Our Administration division is currently seeking an Accounting Specialist to join our Accounting team. This position is an excellent opportunity for an entry-level accounting professional who wishes to expand their existing accounting skills with a growing organization.
The primary purpose of this position is to process, monitor and analyze account receivables while providing excellent customer service to both internal and external clients. The Accounting Specialist is also responsible for administration and processing of account payables, business expense reimbursements and other key accounting support functions that vary on a weekly, monthly, quarterly and annual basis.
Primary Responsibilities:
  • Record daily cash receipts for checks and online payments in a timely and accurate manner.
  • Update the check log and IRS cash log daily.
  • Update check register daily for deposits and checks written.
  • Keep client accounts updated by working closely with the service teams to perform necessary adjustments.
  • Review and analyze the client account receivable activities monthly to assist the service team and producers in monitoring AR status.
  • Work with producers, service team and outside collection agent on debt recovery.
  • Generate and distribute the AR reports and client statements monthly.
  • Collaborate closely with our third-party partner on vendor payable process; handle online payments weekly and reconcile the transactions periodically during the month.
  • Maintain integrity of vendor files for easy and useful reference.
  • Communicate with vendors to resolve billing issues when necessary.
  • Track re-occurring monthly bills to ensure they are paid timely.
  • Responsible for maintenance of vendors in the agency management system which may include set up of new vendors, obtaining W9s and securing approval of new vendors from leadership.
  • Book journal entries for employee business expenses reimbursed on a weekly basis.
  • Prepare loss control reimbursement filing on a monthly basis.
  • Calculate Use Tax as needed and file with the state quarterly.
  • Prepare, process, and submit annual 1099 fillings.
  • File monthly bank statements and complete monthly bank reconciliations.
  • Complete assigned balance sheet account reconciliations, including posting of journal entries.
  • Participate in annual financial audit as needed.
  • Assist with year-end closing activities.
  • May work on special accounting projects that arise.
Position Requirements
A bachelor’s degree in Accounting or Finance is preferred; a high school diploma or associate’s degree and at least two years of accounting or finance experience in a professional office setting is required. Candidate must have basic bookkeeping/accounting knowledge and skills; experience working with accounts payable is valued.
Successful candidates will have excellent written, verbal, and interpersonal communication skills. Strong organization and prioritization skills; ability to work in a fast-paced team environment while managing multiple responsibilities. Candidate must be very detail oriented and focused to maintain a high degree of accuracy. Good math aptitude, solid analytical and problem-solving skills are required. Proficient knowledge and competency of Microsoft Office programs is also required.
