Hall Booth Smith, P.C. is Hiring a Medical Records Clerk Near Nashville, TN

Purpose of the Job:
To manage and maintain the firm's legal records and files, including medical and other legal records, ensuring they are easily accessible, accurately organized, and properly secured in compliance with legal and regulatory requirements.

Key Responsibilities:

  • Maintain and organize physical and electronic legal records, including medical records, case files, and litigation documents.
  • File, retrieve, and update documents as necessary.
  • Ensure records are accurately labeled and stored.
  • Manage records retention and disposal schedules.
  • Adhere to legal and regulatory requirements for record retention.
  • Coordinate the secure disposal of outdated records.
  • Assist with records audits and compliance checks.
  • Prepare records for internal and external audits.
  • Ensure compliance with firm policies and legal requirements.
  • Provide support to legal staff for records-related inquiries.
  • Respond to records retrieval requests promptly.
  • Offer guidance on records management best practices.
  • Operate and maintain records management systems.
  • Use records management software to track and manage files.
  • Troubleshoot and resolve system issues as needed.

Required Qualifications:

  • Education
  • High school diploma or equivalent required.
  • Associate degree in Records Management or related field preferred.
  • Experience
  • Minimum of 1-2 years of experience in legal records management or a similar role.
  • Experience with records management software and systems.
  • Skills
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite.
  • Good communication and interpersonal skills.

Physical Requirements:

  • Ability to lift and carry boxes of records weighing up to 25 pounds.
  • Prolonged periods of sitting and standing.
  • Frequent use of hands and fingers to handle files and operate office equipment.
