We are currently assisting our client, a private family office, with a search for an Administrative Assistant. JOB SUMMARY: The Administrative Assistant supports the Director of the Family Office principals by providing administrative and organizational services to the Director and others on the team as needed. This is a public facing role that often serves as a point of contact for individuals calling on the phone, emailing or visiting. They will be part of a closely-knit team where relationships are collegial, trust is high and confidentiality, discretion and good judgment is paramount. Key Responsibilities:
Provide a broad range of administrative support including supporting the management and coordination of business calendars, including collaborating with team members to coordinate calendars and making decisions to adjust in real time to keep the Directors days flowing smoothly.
Collaborate with Director and team members to filter communications and proactively manage priorities.
Support all aspects of travel for the team including tracking flights, ground transportation, and accommodations.
Work closely with the Property Management team to coordinate occupancy preparation and scheduling, including managing a property visit calendar.
Maintain availability to respond to the Director's needs, including on nights and weekends on occasion.
Maintain availability to travel up to 3 months of the year.
Troubleshoot basic technology related issues and coordinating necessary IT assistance.
Track all expenses, gather receipts, and provide support to accounting team.
Research and evaluate approaches and potential solutions to issues and recommend a course of action.
Represent Director in dealings with third parties as requested.
Manage, perform, and oversee special projects as requested.
Manage, prioritize, and sort mail.
Other duties as assigned.
Required Experience and Education:
A bachelor's degree preferred.
Five to seven years of relevant experience.
Proven ability to manage a flexible schedule, tight deadlines, competing priorities, and last-minute requests.
Proven ability to complete projects timely and efficiently.
Active listening, critical thinking and strong verbal and written communication skills.
Excellent analytical, organizational, project management, and time management skills.
Ability to learn preferences and anticipate needs.
Ability to exercise independent judgment.
Clean driving record
Notary Public (preferred)
Proficiency in Microsoft Office, Excel, Teams, with a high level of competency in Outlook
Ability to travel 25-30%, sometime in large blocks of time.

Location: Seattle, WA - LOCAL CANDIDATES ONLY Compensation Range: $80,000 - $90,000 depending on experience.
