Job Summary

The Operations Specialist/Manager is responsible for overseeing and coordinating the daily operations of Hapana. This role involves strategic planning, managing resources, optimising processes, and ensuring operational excellence to achieve business objectives. The Operations Specialist/Manager identifies areas for improvement, and implements initiatives to enhance productivity and efficiency. This position requires strong leadership skills, strategic thinking, problem-solving abilities, and a keen focus on quality and continuous improvement.

Key Responsibilities

  • Process Improvement: Identify and implement process improvements to increase efficiency and effectiveness across various departments.
  • Data Management: Maintain accurate and up-to-date records of key operational metrics, ensuring data integrity and accessibility for decision-making.
  • System Administration: Oversee the administration of our SaaS platforms, ensuring optimal configuration and functionality to meet business needs.
  • Project Coordination: Assist in the planning and execution of operational projects, ensuring timelines and deliverables are met.
  • Reporting and Analysis: Generate and analyse reports on operational performance, identifying trends and areas for improvement.
  • Cross-Functional Collaboration: Work closely with Sales, Marketing, Product, and Customer Success teams to align operational activities with overall business goals.
  • Compliance and Risk Management: Ensure compliance with company policies and industry regulations, identifying and mitigating operational risks.
  • Management of Payment Processors: Oversee and manage relationships with payment processors to ensure seamless financial transactions and resolve any payment-related issues.
  • Shareholder Communications: Facilitate communications with shareholders, including the preparation and distribution of regular updates and reports.
  • Cross-Department KPIs and Reporting: Develop, monitor, and report on key performance indicators (KPIs) across departments, providing insights and recommendations to drive performance improvements.

Qualifications & Requirements

  • Education: Bachelor’s degree in Business Administration, Operations Management, or a related field.
  • Experience: 5 years of experience in operations, preferably within a B2B SaaS environment.
  • Technical Skills: Proficiency in SaaS platforms, CRM systems, and data analysis tools
  • Analytical Skills: Strong analytical and problem-solving skills, with the ability to interpret data and make data-driven decisions.
  • Communication: Excellent verbal and written communication skills, with the ability to convey complex information clearly and concisely.
  • Organisational Skills: Exceptional organisational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Team Player: Ability to work effectively in a collaborative team environment, demonstrating flexibility and adaptability.
  • Detail-Oriented: High attention to detail and a commitment to accuracy and quality.

This role will be working from home initially with the perspective of coming into the office 2-3 days a week in the coming months.
