Hartford Union High School is seeking a full-time Administrative Assistant that provides confidential secretarial and administrative support to the principal. The position performs a wide range of administrative and office support for the district to facilitate the efficient operation of the high school. The Administrative Assistant reports to the Principal. This is an hourly position working from 7:00 a.m. to 3:30 p.m. Monday through Friday

This position will:

  • Oversees, coordinates, and performs day to day school administrative functions.
  • Utilizes effective and positive communication skills with students, staff, administration, parents, community members, and other stakeholders via various communication methods.
  • Uses a variety of technology to generate spreadsheets, word processing, calendar, e-mail, Google docs, Skyward and database software in performing work assignments.
  • Utilizes computerized systems to access and upload relevant reports, communications, and pertinent data.
  • Receives and resolves concerns and complaints, using knowledge of school policies, procedures, rules, and requirements.
  • Prepares and modifies documents including correspondence, reports, drafts, memos and emails.
  • Foresees student support with behavior issues and communicates with Administration or Student Services.
  • Schedules meetings for Administration and Student Services.
  • Appropriately addressing concerns and complaints, using knowledge of school policies, procedures, rules, and requirements.
  • Prepares standardized documents and reports (e.g. form letters and memos, calendars, bulletins,reports, etc.) for the purpose of communicating information to district personnel, parents, other agencies, and state officials.
  • Works with the Principal to establish a safe and secure learning environment for students and staff. Assist in developing plans for emergency situations in collaboration with other administrators, staff, and public safety agencies.
  • Coordinates and assists with events and projects for the school.
  • Assists Principal in creating daily, weekly, monthly, or as-needed schools’ correspondence with students, staff, and/or community.
  • Assists in supporting student behavior.
  • Assists the Principal in updating the school’s policies and procedures related to student management and action plans which meet state, federal, and division requirements.
  • Retiree and Teacher Appreciation Luncheon: Coordinates and prepares years of service certificates with Human Resources and other district staff.
  • Create and maintain accurate district and building level webpage.
  • Ability to be flexible, problem solve, and work independently with multiple interruptions during assigned work hours.
  • Assist supervisor in the preparation of budgets; prepare purchase orders and check requests for accuracy and correct expenditure coding; monitor and reconcile purchasing card requests; deposit school funds.
  • Work with administration to prepare student/parent handbooks, faculty handbooks, newsletters, and other documents.
  • Works at various school functions outside of their normal work hours in relation to their job duties, as needed.
  • Opens, sorts, and disburses incoming mail and other correspondence.
  • Maintains confidentiality of various aspects of school operation including sensitive and personal information.
  • Ability to handle sensitive matters and maintain confidentiality. (e.g. FERPA, HIPPA, special education, and legal documents related to student or family situations).
  • Communicates with parents related to student behavior matters.
  • Supports the Principal to help them complete their tasks and duties.
  • Positive role model in the District.

Degree/License requirements include:
Education

  • Required: High School Diploma or general education degree (GED). Good interpersonal and phone skills and the ability to use appropriate e-mail programs.
  • Preferred: Associates degree or equivalent.

Licensing

  • Required: Valid Wisconsin Driver’s License.
  • Preferred: AED, CPR, First Aid.

Work Experience

  • Required: One to three years of administrative assistant experience. Proficiency in Microsoft Office, and google docs.
  • Preferred: Secretarial experience in public education. Experience with student information software (SIS) is preferred.
