Position Overview

As a Paralegal specializing in client intake, you will play a crucial role in the initial stages of our legal processes, ensuring a seamless and efficient experience for our clients. Your primary responsibility will be to facilitate the intake process, gathering essential information, and establishing the foundation for successful client representation. This role requires a keen attention to detail, exceptional communication skills, and a commitment to providing outstanding client service.

Key Job Responsibilities:

• Contract Review: Review client contracts in accordance with the Engagement Agreement Review SOP.
• Matter Documentation Review: Review documents uploaded to Bridgify by clients in accordance with the Matter Document Review SOP.
• Conflict Checks: Complete Hartley Law conflict checks and duplicate claimant review in accordance with the Conflict Check SOP.
• Client Communication: Manage and complete client communication through the Bridgify communication module, responding to clients within one (1) business day. Serve as the first point of contact for clients/prospective clients seeking assistance and communicate effectively.
• Client Communication: Respond to prospective client and client voice messages left through Convoso through self-assignment to HubSpot tickets, managing the ticket through completion.
• Social Media Management: Manage and respond to comments made on Hartley Law advertisements through social media; Facebook, Instagram, TikTok, Reddit, Google, etc.
• Interact with Marketing and Hartley Law attorneys when unsure how to respond or manage questionable comments.
• Case Support: Create and maintain FAQs for each case.
• Coordinate with Marketing to post FAQs to the case webpage.
• Coordinate with Operations Leadership to share FAQs with clients via Bridgify mass communications.
• Continuous Improvement: Proactively identify opportunities for process improvement and efficiency within the intake process. Implement best practices and leverage technology to streamline workflows and enhance client satisfaction.

Qualifications:

• Bachelor’s degree and/or paralegal certification from an ABA-approved paralegal certification program preferred.
• Previous experience with at least one of the following practice areas: client intake, document review, liens, collections, mass torts, mass arbitration.
• Excellent written and verbal communication skills, with a keen attention to detail.
• Strong interpersonal skills and the ability to establish rapport with clients from diverse backgrounds.
• Proficiency in legal research, document management, and case management software.
• Ability to multitask, prioritize workload, and thrive in a fast-paced environment.
• Commitment to maintaining confidentiality and upholding ethical standards in all client interactions.
• Able to function effectively in a busy, team-oriented environment.
