Job SummaryThe Assistant Director – Athletic Facilities, is responsible for capital projects and daily operations at the Harvard Athletics Complex which consists of 76 acres of grounds, and 18 buildings encompassing over 1 million gross square feet. Directly supervises the Athletic Facilities Operations Manager, with additional supervision of Athletics Property Operations Assistants, FMO trades, and contracted vendor staff. Works directly with trades and supervises vendors as assigned. Provides expertise with MEP and life safety systems, building condition assessments, information technology solutions, and customer service. Possesses extensive knowledge of athletic facilities and specialty skills to support the unique needs of NCAA Division 1 stakeholders.
Position Description
  • Manage Athletic Facilities daily operations including assigning work orders, verifying completion, scheduling tasks, preparing for competitions, practices, internal events and external rentals.
  • Requires detailed knowledge and skill of athletic-specific tools, equipment, rules, etc. Daily communication with coaches and team staff, coordination with service providers and team schedules. This position requires specialized skill to operate at the scale and level of Harvard Athletics.
  • Acts as department representative for projects as assigned. Attends project meetings and reviews/conducts walkthroughs.
    • Serves as project manager, managing all aspects from development, implementation to close out. Tasks include defining user needs, scope development, schedule, budget tracking, contract management, risk analysis and reporting.
    • Manages projects (up to $300,000).
    • Manages assigned capital projects ($300,000-$3M).
    • Staff supervision of three Property Operations Assistants, FMO trades (embedded Area Operator and Electrician) and custodial (FMO Supervisor, 14.6 FTE custodial staff), embedded vendors and external service providers. Managing time, setting priorities and schedules. Delegates work and projects based on departmental priorities set in conjunction with Associate AD, Facilities and Operations.
    • Collaborative management of Athletic Facilities operational budget in conjunction with and support of Associate AD and Sr. Associate AD.
    • Comprehensive deferred maintenance planning. Creates and maintains deferred maintenance database. Establishes annual and 5-year deferred maintenance plan for review by Associate AD, Sr Associate AD, and Athletics business office. Completes approved deferred maintenance projects or assigns work to various direct reports.
    • Primary oversight of Bright Landry Hockey Center, ice production and maintenance including but not limited to personnel hiring and training, equipment maintenance and inventory management, event management, rink schedule oversight, quality control and overall budget.
    • Participate in weekly coordination meetings including Events Meeting, Facilities/Event Management Meeting, Facilities Staff Meetings. Holds weekly or frequent meetings with direct and indirect reports.
    Basic Qualifications
    • Bachelor’s degree or equivalent work experience required.
    • At least 5 years of experience managing athletic facilities or relevant athletic administration experience in a college or professional sports setting required.
    • Supervisory experience required.
    Additional Qualifications And Skills
    • Experience with ice rink management including ammonia/glycol refrigeration systems, ice making equipment, and industry standard best-practices.
    • Experience in pool management and oversite of CPOs.
    • Knowledge of agronomy and natural grass playing surfaces.
    • Experience with synthetic turf maintenance.
    • Strong leadership is required to develop and maintain relationships and partnerships with customers, stakeholders, peers, business partners.
    • Strong customer focus. Proven athletic facilities experience providing high quality customer service.
    • Strong computer skills (MS Excel, Word, MS Internet Explorer, Email (Outlook) required.
    • Strong knowledge of building systems required.
    • Experience with Building Management Systems (BMS) desired, preferably Siemens.
    • Experience working in a University setting desired.
    • Strong interpersonal skills. Ability to work well and build relationships with other Harvard department employees and vendors.
    • Must be creative at problem solving and possess analytical skills. Strong organizational skills are required.
    • The ability to communicate well in verbal and written form is essential. Self-motivated who can take initiative to resolve problem. Attention to detail is a must.
    • Ability to work effectively with user groups, internal staff, and outside consultants. Work under tight deadlines on multiple projects simultaneously. Must be flexible, adaptable, and work well as part of a team.
    Certificates and Licenses
    • Valid Driver’s License
    • US Ice Rink association (CIRM, CIT, or CRA) certification preferred
    • MA Hoisting license to operate lifts and other hydraulic equipment preferred
    Physical RequirementsPushing, pulling, lifting (50 pounds and over), exposure to cold and warm temperatures.
    Working Conditions
    • Position requires weekend and evening work, as well as being on call.
    • Ability and willingness to work in extreme weather conditions (heat, rain, snow, cold).
