COMMERCIAL BANKING ASSISTANTSUMMARY This position is responsible for preparing management reports for the Loan Department. This position may meet with customers regarding small, non-complex loan request. This position will greet the public in a professional manner in person and on the telephone and direct their questions and concerns to the proper personnel. This position has contact with loan officers, credit analyst, loan operations personnel, retail operations personnel, and customers. Accuracy and attention to detail are critical aspects of this job. Work is performed within the framework of standard operating policies and procedures; however, independent judgment and discretion is required in performing assigned tasks. Deviations from normal procedures and/or questions are referred to the supervisor. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.Conduct research to prepare commercial loan files for processing, using bank’s computer system, as well as approved resources and tools from loan files prepared by the loan officers; proofread for accuracy and completeness and edit as needed; prepare general correspondence to accompany the note; forward to loan officer for loan closing; prepare commercial loan file. Track and prepare commercial loan extensions for processing, including all research for file and forward to centralized processing, review documents, prepare for mailing and forward to loan officer. Answer telephone, take and transmit messages; greet and screen visitors then direct to appropriate personnel; schedule appointments; provide general secretarial support to loan officers; file documentation, as needed; distribute mail. Answer routine questions and inquiries regarding loans within standard operating policies and procedures and applicable state and federal rules and regulations. Access computer system and print Insufficient Items Report; distribute report to loan officers for instructions regarding payment or return of items (and any applicable fees associated with same); perform data entry per loan officer instructions. Prepare paperwork and process telephone and wire transfers for customers. Prepare, proofread, photocopy, and distribute monthly and quarterly reports. Type, proofread, and edit correspondence, memoranda, etc. from draft, as needed; create database and word documents for large mailings.Receive financial statements and enter required data into tracking spreadsheet; communicates with loan officer regarding financial statements that are pending. Track collateral information to guarantee the bank’s status in perfecting liens. Process payoff letters, demand letters, and legal descriptions; obtain appropriate endorsement to release deed of trust. Make decisions about a variety of daily transactions and exercise discretionary authority; provide troubleshooting; professionally and diplomatically deal with irate or unhappy customers; assign tasks and ensure completion within predetermined deadlines. Notarize documents per customer request. Comply with all banking regulations, policies, and procedures. NON-ESSENTIAL DUTIES & RESPONSIBILITIES include the following. Other duties may be assigned. Maintain educational and professional expertise through attendance at job related seminars, conferences and workshops. Represent the bank in a variety of community activities and functions. Reviews technical bulletins, newsletters, etc; distributes information to employees. SUPERVISORY RESPONSIBILITIES None. QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Possess a minimum of two to three years of general work experience in a lending department or comparable experience. LANGUAGE SKILLS Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. OTHER SKILLS AND ABILITIES Must have the ability to operate office and bank equipment (e.g., telephone, 10-key calculator, typewriter, personal computer and printer, copy machine, fax machine, document scanner, check encoder, coin machine, currency counter, debit/credit card scanner, crimper, dolly, safe deposit timer, vault timer, television and VCR, security system, etc). Must have working knowledge of word processing, spreadsheet, and database software programs. Advanced PC knowledge. KEY CONTACTS--Internal and ExternalHas frequent contact with individuals in all lending and operations departments. Has frequent contact with customers.
