Hays Consolidated Independent School District is Hiring a Secretary - Special Education Near Kyle, TX

Wage/Hour Status: Non-Exempt
Pay Grade / Days: PP06 / 230 days
Primary PurposeEnsure effective operation of the special education office and provide clerical services for special education administrative staff.
QualificationsMinimum Education/Certification:High school diploma or GED
Special Knowledge/SkillsProficient skills in keyboarding, data entry, word processing, and file maintenance
Ability to use software to develop spreadsheets, databases, and do word processing
Ability to maintain accurate and auditable records
Ability to organize and prioritize responsibilities and projects to meet timelines
Ability to follow verbal and written instructions
Ability to perform a variety of tasks often changing assignment on short notice
Effective organizational, communication, and interpersonal skills
ExperienceThree years secretarial experience, preferably in public education
Major Responsibilities And DutiesRecords, Reports, and Correspondence
  • Maintain professional decorum and protect confidentiality of all staff, parents, and students.
  • Maintain student files by filing forms, correspondence, letters, private student paperwork and/or documents in accordance with established office routines while securing and organizing files.
  • Enter data into department/district software and spreadsheets including but not limited to student referrals, student transfer records, student testing protocols, and student IEPs.
  • Fulfill requests for student records (in or out) and notify appropriate staff of records received.
  • Send via email or traditional mail, a copy of IEP and corresponding documents to parent.
  • Ability to multi-task and work with a variety of leadership staff members to prepare and maintain student records.
  • Assist other clerical/secretarial staff by providing them support in accomplishing their job duties in times of peak demand or to meet work priorities.
Reception and Phones
  • Greet parents and other visitors to the building routing them to the appropriate person/department
  • Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
  • Send reminders to parents regarding upcoming ARD meeting via email, text, or phone call.
Other
  • Receive, sort, and distribute mail and other documents to department staff.
  • Attend training sessions, district in-service or staff meetings, including meetings/trainings on special education processes and procedures.
  • Assists in special projects, as appropriate.
  • Maintain confidentiality of information.
  • Follow district safety protocols and emergency procedures.

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional lifting and carrying (less than 25 pounds)
Environment: May work prolonged or irregular hours; occasional districtwide travel
