Shift: 10:00 AM - 3:00 PM

The Administrative Assistant is an enthusiastic, career minded individual with a strong work ethic and a commitment to teamwork. This position will play an integral role in the customer and organizational strength of the company. The Administrative Assistant will provide administrative support, working very closely with the Center Administrator and Director of Nursing and will perform clerical duties, including filing, answering phones, responding to emails and preparing documents. The Administrative Assistant will also provide timely assistance necessary to maintain compliance with all state regulations. Qualifications include impeccable verbal and written communication skills, a strong ability to multi-task with minimal supervision, and a professional demeanor.

Responsibilities:

• Assist with updating, renewing, filing and keeping child/individual’s and employee charts;
• Assist with auditing child/individual’s charts; 3
• Assist with directing in-office phone traffic;
• May assist with paperwork, obtaining signatures or assisting with entering information into the Medicaid portal;
• Scan necessary documents for individual renewal processes or billing;
• Assist with Accounts Receivable and Accounts Payable;
• Assist with tracking and compiling Quality Assurance data;
• Assist with electronic charting to ensure that all nursing notes are completed and submitted on time;
• Assist with new employee charts;
• Greet visitors and families and assist with sign-in process and ensure drop-off and pick-up times are documented;
• Maintain knowledge of emergency procedures and assist in emergency situations;
• Immediately report any complaints to the Administrator or Director of Nursing;
• Must possess the personal characteristics of professionalism and commitment to high standards with a strong work ethic, confidence, creativity, innovation, integrity and stability;
• Assists in ensuring staff development and education are performed and current; and
• Other duties as assigned.

Education and Experience

• Demonstrate knowledge and expertise in administrative and clerical procedures;
• Knowledge of Microsoft Office Products, such as Exel and Word;
• Possesses a valid driver’s license and automobile in good working condition;
• Current CPR and First Aid certification;
• Evidence of negative TB skin test or X-ray; and
• Satisfactory Criminal Background check.

Physical Requirements

• Must have transportation to arrive on time to the Center;
• Ability to stand, lift or assist in lifting an individual in an emergency;
• Must be able to bend, stoop, kneel, squat and generally demonstrate flexibility;
• Must be able to see with visual and listen with hearing acuity;
• Must have strength and manual dexterity, including grasping and manipulating small objects; and
• Must be able to respond to emergency situations. I understand and will comply with the above listed job qualifications and responsibilities.

Job Type: Part-time

Pay: $14.00 - $16.00 per hour
