Job Summary

The Agreement Manager is primarily responsible for helping consultants prepare high-quality non-competitive proposals (proposals), letter agreements (agreements), and scopes of work (SOWs). Job duties include supporting consultants in the preparation of proposals, agreements, and SOWs, reviewing deliverables to ensure compliance, and providing input on improving relevant processes. The Agreement Manager must have an ability to work with a diverse range of colleagues under demanding deadlines.

Responsibilities

Work Performed and Job Requirements

  • Supports consultants in the development of proposals, agreements, and SOWs including:
    • Reviews proposals, agreements, and SOWs for accuracy, presentation, and compliance.
    • Reviews database for related proposals, agreements, SOWs, amendments, and master agreements.
    • Facilitates communication and coordinates with other members of the contracts team, and other administrative areas, on questions arising on legal terms and other items.
  • Completes required administrative and quality reviews:
    • Coordinates with consultants to ensure proposals, agreements, and SOWs are entered correctly in the CRM system, hourly rates are accurate, budget completed in CRM record, and appropriate approvals are in place.
    • Applies standard quality review and finalization processes.
  • Documents and stores proposals, agreements, and SOWs:
    • Stores completed proposals, agreements, and SOWs appropriately and timely.
    • Maintains and updates accurate information for opportunities in the CRM system.
  • Ensures consultant biographies are developed and easily accessible for use in agreements, proposals, and SOWs. Confers with consultants and reviews customized biographies as necessary. Catalogues all bios for easy access.
  • Proficient in CRM database, including ability to set up project records; keyword searches; ability to locate past proposals, agreements, SOWs; and create searches and reports in relevant subject and functional areas as appropriate.
  • Proficient in Sharepoint, including ability to upload and search for relevant files and information.
  • Copyedits and formats documents for compliance with HMA style structure in each proposal, agreement, and SOW template; HMA style guide; and The Chicago Manual of Style. Performs quality and compliance reviews.
  • Reviews Excel files, manages data in various databases, including Vantagepoint and PowerBI, as appropriate.
  • Performs basic calculations in relation to rate structures and budgets.
  • Contributes to the culture of the organization, including taking responsibility for decisions, actions, and results.
  • Serves on workgroups and assists others as needed.
  • Balances the needs of different stakeholders to find an innovative and efficient solution to problems.
  • Provides coverage for other team members as needed.
  • All other duties as assigned.

Qualifications

Education/Training

Minimum of a bachelor’s degree in business or related discipline or equivalent work experience is required. Master’s degree preferred.

 

Experience

A minimum of 5 years of similar or advancing non-competitive proposal, agreement, and SOW development or copyediting experience is required. Healthcare experience is strongly preferred. Experience with Vantagepoint or other CRM systems and PowerBI is preferred.

Working Conditions

This position is fully remote. Work is sedentary in nature and involves frequent telephonic and electronic contact with colleagues. Tight deadlines may require adjusting priorities under challenging circumstances. Work may be stressful at times.

 

Physical/Mental Demands

Work requires hand dexterity for computer operation; stand/sit for up to eight hours each day; ability to communicate clearly when using the telephone; requires sitting; moderate levels of stress.
