Description
As an Accounts Payable Specialist, you will be processing purchase orders and invoices, distributing signed checks, and assisting with month-end and year-end close. You will be working closely with the finance team, and you will report to the Accounting Manager.
JOB RESPONSIBILITIES:
- Processes purchase orders (PO), invoices and credit card transactions, and payments.
- Checks vendor files for any duplicate invoices when an invoice is received.
- Enters purchase orders into the PO system for approval from the Site Operations Director and the Chief Operating Officer.
- Reviews the PO and approves payment.
- Attaches the PO to the invoice and enters into our accounting system with the correct code for payment.
- Answers inquiries from vendors, suppliers, and employees; researches discrepancies between invoices and purchase orders; and compensates as necessary.
- Distributes signed checks as required.
- Assists in month-end close, year-end close, prepares analysis and/or audits of accounts, as required.
- Codes any non-employee invoices with the W-9 code and fills out W-9 forms as needed.
- All HealthLinc staff is committed to engage in quality improvement initiatives that align with and support Patient-Centered Medical Home (PCMH).
- Performs other duties as assigned.
Qualifications
REQUIRED QUALIFICATIONS:
Education/Training
- High school diploma or equivalent
- Bachelors degree in accounting or related field (not required but highly preferred)
Experience
- At least 3-5 years of experience working with principles, practices, and methods of accounting, auditing and third-party billing, budgeting, and reporting
Skills/Job Requirement
- Strong organizational and time management skills

- Proven ability to work well in a team environment
- Ability to remain flexible and adaptable
- Strong analytical skills
- Ability to follow HealthLinc policies and procedures
Technology Skills
- Operate a multi-line phone system and other office equipment including printers, fax machines, etc.
- Basic software skills (Microsoft Office, accounting software, EHR, online sources, etc.)
