Healthy Babies, Happy Moms Inc. is Hiring an Operations Associate - Nursing Agency - Full Time Near East Greenwich, RI

Position Overview:

Healthy Babies, Happy Moms (HBHM) Inc. is looking for an administrative/operations professional to handle the day-to-day operations of our office. Clients visiting our office may be working with us during a challenging time. The candidate who fills this role will be the initial point of contact with our patients and customers. The ideal candidate will use their skills to ensure a positive experience for all guests in our office, no matter the reason for their visit. The candidate will also work with the rest of our team to ensure seamless ordering and shipping of our DME products. Office hours are M-F, 9:00 am-5:00 pm. This is an in-person position.

Principal Duties and Responsibilities:

  • Responsible for knowing and acting following HBHM’s Code of Conduct
  • Welcome all visitors to the office with helpfulness and professionalism
  • Answer the telephone and take appropriate next steps
  • Complete new patient registration and verify insurance
  • Schedule both office and home visits while balancing staff availability, travel time, and client expectations
  • Transmit messages to the appropriate staff member
  • Manage office Google calendar in tandem with the Athena schedule
  • Request referrals from physician office staff
  • Upload clinical documents to patient charts
  • Assist claims staff as needed
  • Process DME orders
  • Cleaning, tracking, and inventory of medical equipment
  • Inventory the office for supplies and merchandise and submit order requests as necessary
  • Document and spreadsheet generation and maintenance
  • Receive mail, and upload receipts and bills to HubDoc
  • Open and close the office each day
  • Photocopy, fax, and file as required
  • Maintain work area and overall office according to RIDOH and ACHC standards
  • Demonstrate flexibility to perform other duties wherever volume deems it necessary

Qualifications & Skills:

REQUIRED:

  • Vaccinations or proof of immunity: flu, covid, MMR, varicella, TDAP, TB, hep B
  • Bachelor’s degree, or student working toward a degree, preferably in Health Care Policy or Administration or Medical Billing and Coding Certification
  • 1 year of experience as an administrative professional or equivalent education
  • Skilled in greeting patients and answering telephones with a strong customer service focus
  • Knowledge of grammar, spelling, and punctuation to document patient information and type correspondence and ability to repeat names and numbers back to clients to ensure accuracy
  • Knowledge of medical office procedures, terminology, and medical insurance policies, procedures, and requirements
  • Skilled in operating a variety of office equipment such as copiers, facsimile machines, computers, and telephones
  • Ability to speak clearly and concisely
  • Ability to read, understand, and follow oral and written instructions given in English
  • Ability to establish and maintain effective working relationships with customers (patients, physician staff, coworkers, supervisor, etc.)
  • Demonstrated ability to prioritize multiple tasks during high volume of medical office
  • Proficiency in both Microsoft Office and Google Suite applications
  • Ability to communicate effectively with counterparts to share essential information
  • Flexibility and adaptability
  • Willingly learn new skills, procedures, and protocols as they are introduced

PREFERRED:

  • Fluency in Spanish
  • Experience with Athena software
  • Experience with Salesforce
  • Medical office experience

Job Type: Full-time

Pay: $40,000.00 - $43,000.00 per year
