DescriptionJob SummaryAs an HR Coordinator, you will play a pivotal role in supporting the Human Resources department and the organization. You will be responsible for various administrative tasks HR policies and procedures. This role requires strong organizational skills, attention to detail, and excellent communication abilities.
Job Responsibilities
  • Prepare orientation folders for new hires prior to the New Hire Orientation session.
  • Prepare the setup the day before the orientation, including arranging sign-in procedures and taking ID pictures. Create identification cards for new hires. Ensure the area is cleaned up after the orientation session.
  • Send emails to request building access permissions for New Hires and visitors for Admin Office.
  • Collect replacement fees for lost IDs and issue new identification cards.
  • Utilize the Paycom to access employee files and maintain physical file room and retrieve documents as needed.
  • Verify employment for loan applications, employment verification letters, mortgages, etc.
  • Utilize PayChex, Sage, and the Rolodex to conduct verifications for employees who were employed before 2015.
  • Utilize OMIG, SAM, and OIG to validate the credentials of independent contractors and incorporate this information into the agreement.
  • Obtain approval from the Vice President of Human Resources for the new Independent Contractor. Duplicate the document and forward the original to the Fiscal department.
  • Forward approved invoices for vendors providing services through temporary agencies and job boards to the fiscal department.
  • After obtaining the necessary signatures, finalize the HR credit card statement at the end of the month, and then forward the statement along with supporting documents to the Fiscal department.
  • Process a new purchase order for IT equipment intended for the HR department.
  • Order and maintain HR supplies and keep records of inventory".
  • Initiate reverifications for I-9 forms when an employee's Employment Authorization document expires. Contact the employee to complete the reverification process either manually or through the Paycom checklist.
  • Support the HR department with administrative tasks such as maintaining employee files, updating HR databases, and generating reports.
  • Arrange the tracking and shipment of terminated files to Iron Mountain for archival purposes. Additionally, request termination files from Iron Mountain storage when needed.
  • Assist with compliance of all applicable labor laws, regulations, and company policies.
  • Assist in conducting audits and reviews to ensure HR processes and practices are in line with legal requirements and organizational standards .
  • Stay informed about changes in employment legislation and update HR policies and procedures accordingly .
  • Any other duties assigned.
QualificationsQualifications
  • Associate degree in human resources, Business Administration, or related field preferred.
  • Prior experience in an HR administrative role or similar position is advantageous.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Proficient in Microsoft Office Suite and HRIS software; familiarity with Paycom is a plus.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Detail-oriented and capable of maintaining accurate records and documentation.
