Community Relations Department
Seasonal Holiday Specialist
Hours: Monday - Thursday, with nights and weekends throughout
Status: Full Time
Reports to: Community Relations Development Manager
Purpose:
This position falls under the supervision of the Community Relations Development Manager, and is on the Community Relations team, which plans and executes holiday programs. Duties for Community Relations events fall within this position.
Duties, Functions and Responsibilities:
  1. Will be an integral and essential part of holiday programs team.
  2. Assist with research, preparation, and execution of all holiday events including but not limited to: Toy Drive, Adopt-A-Family, Thanksgiving Food Drives, Turkey-Thon, Intake, Toy Distribution, Agency Distribution, Employee Holiday Party.
  3. Attend and support all activities in #2 as needed, including most Fridays and Saturdays in November and December.
  4. Manage volunteers and on-site logistics at the 98.5 KLUC "Chet Buchanan Show" Toy Drive.
  5. General office duties: copying, filing, answering phones, answering emails using MS Office Suite, including Outlook, Word, Excel, Powerpoint, Publisher.
  6. Check and respond to phone messages on a holiday hotline; and emails to general email address.
  7. Run errands; including deliveries and pick-ups for holiday programs as needed with HELP or personal vehicle. Examples include box deliveries for food drives; pickups and deliveries to toy drive site at NV Energy; pick up donations as needed.
  8. Recruit food drive partners by contacting past participants via email & telephone, then register for current year.
  9. Assist with agency toy distribution program including grant review and data entry.
  10. Monitor and review data entry of holiday clients in an Access Database to ensure client data is as complete as possible.
  11. Perform data entry for donors in Donor Perfect platform as needed.
  12. Post-holiday activities, including thank you packets and donor acknowledgements.
  13. Other duties, as may be assigned.
  14. General office duties include but not limited to copying, filing, answering phones, answering emails using MS Office Suite, including Outlook, Word, Excel, PowerPoint, Publisher.
  15. Responsible for checking phone messages and emails from our holiday hotline in a timely manner.
  16. Run errands; including deliveries and pick-ups for holiday programs as needed with HELP or personal vehicle. Examples include box deliveries for food drives; pickups and deliveries to Toy Drive site at NV Energy; pick up donations as needed.
  17. Post-holiday activities, including but not limited to securing photos in our S Drive from all staff from holidays, assisting with creation of thank-you slideshow for donor appreciation, thank-you packets, donor acknowledgement, closure of Holiday Programs, researching, planning and executing HELP events as needed.
  18. Other duties, as may be assigned.
Qualifications, Education and/or Equivalent Experience:
  1. High School Diploma or GED
  2. Must be over 21 (due to some event locations)
  3. Must be able to work nights and weekends, during Holiday Programs and Events.
  4. Must be flexible with work schedule on a short notice.
  5. Event Planning experience preferred.
  6. General computer knowledge and ability to use Microsoft Office software to include, but not limited to Word, Excel, PowerPoint, Publisher, and Access.
  7. Ability to use Google Docs, Google Sheets, Google Forms, and other Google Platform tools.
  8. Effective written, verbal and listening skills.
  9. Experience with any donor database helpful; DonorPerfect experience preferred.
  10. Ability to independently initiate and respond to various correspondence.
  11. Must be able to multitask at all times. Will be expected to switch back and forth between tasks and efficiently perform job responsibilities one right after another.
  12. Flexible, and able to quickly adjust to shifting priorities and schedules.
  13. Some lifting up to 20 pounds is required; i.e., lifting bags of toys and boxes of donations; transferring assembled bicycles into vehicles.
  14. Understand and follow all agency policies and procedures.
  15. Must be able to pass a background check and pre-employment drug screening. Random drug screening is performed.
  16. Must have a valid NV driver's license for minimum 5 years (preferred) and clean DVM record.
  17. Position is seasonal; ideal candidate can begin mid-August and end in mid-to-late February or as needed. Position can lead to full-time employment within other HELP departments.
Working Conditions:
Work is performed in an office environment, with driving required at times. Some holiday program activities are outside. Some activities have extensive client and donor contact. May be subject to sitting, walking, bending, squatting, standing, pushing and pulling and simple grasping, lifting 20 lbs. and up, loading and unloading vehicles and trucks.
