Hennepin County Medical Center is Hiring a Remote Project Coordinator - Addiction Program (remote position)

Hennepin Healthcare is an integrated system of care that includes HCMC, a nationally recognized Level I Adult Trauma Center and Level I Pediatric Trauma Center and acute care hospital, as well as a clinic system with primary care clinics located in Minneapolis and across Hennepin County. We are currently looking for a Project Coordinator to join our Department of Medicine team. This full time role will primarily work days with occasional early evening hours. This is a grant funded position with a term date of 6/30/2025, with the possibility of extending for another year.

Project ECHO is a knowledge-sharing initiative that uses technology to ensure the right knowledge exists at the right place at the right time to take care of people in rural and underserved areas. We currently host ECHO initiatives that help healthcare teams across Minnesota (and beyond) care for people struggling with complicated or problematic opioid use, including addiction, perinatal substance use, viral hepatitis, and associated conditions.

SUMMARY

This position will serve as a point person for educational efforts and manage related program logistics for various parties within the organization and with external partners. The major responsibility of this position will be to manage Project ECHO substance use-related initiatives within the Department of Medicine. Project ECHO is a knowledge-sharing initiative that uses technology to ensure the right knowledge exists at the right place at the right time to take care of people in rural and underserved areas. We currently host ECHO initiatives that help healthcare teams across Minnesota (and beyond) care for people struggling with complicated or problematic opioid use, including addiction, perinatal substance use, viral hepatitis, and associated conditions.

The position will help create an understanding of project management with internal/external partners in order to gain support, collaboration, and motivation, as well as promote adaptation in rapidly changing environments. The Project Coordinator is responsible for developing marketing materials, coordinating Project ECHO sessions, managing communications with partners, collecting data and associated databases, and implementing all tasks that relate to this specific project as well as other grant projects in the Department of Medicine.

RESPONSIBILITIES

  • Coordinates major project events such as the kickoff, milestone readiness reviews, and celebration
  • Coordinates activities, resources, equipment, information, and update key project documents
  • Identifies, researches, and resolves project issues and escalates as appropriate
  • Assures project team completion of action items
  • Assists in the development and analysis of data, including regularly updating and entering information into the iECHO platform
  • Executes surveys and feasibility studies for policy formation and improvement of services
  • Contributes to ongoing departmental and project-specific process improvement efforts
  • Meets with the project leaders and manager to understand all vital aspects of the Project ECHO programs
  • Coordinates projects and meetings with cross-functional teams, including compiling and maintaining interim project reports and minutes of meetings
  • Coordinates administrative and operational aspects of an ECHO session with the project manager, hub team, and participants, to ensure all aspects of ECHO sessions are prepared and run smoothly
  • Provides administrative and operational support for Hub team and Spoke participants, including setting up meeting information, sending email reminders, managing feedback surveys, providing support for zoom functionality during ECHO sessions, etc.
  • Establish, manage, and update ECHO initiative email distribution lists for each ECHO
  • Liaise with the Joint Accreditation Office and the ECHO Institute to initiate and maintain CME accreditation for ECHO initiatives, as needed
  • Conducts training for other spoke participants in relation to the duties of a distance education coordinator
  • Coordinates the development and preparation of marketing and promotional plans materials
  • Provide support in the areas of vendor set up, contracting, and invoice processing and preparing of budget reports
  • Facilitates and enhances day-to-day operating relations with site coordinators and other stakeholders
  • Supports throughout the entire project lifecycle
  • Other duties as assigned

QUALIFICATIONS

Minimum Qualifications

  • Bachelor's degree in a healthcare field
  • Three to five years of experience in coordinating project activities, preferably in Healthcare Organizational skills with the ability to identify and manage priorities

  • An approved equivalent combination of training and experience

Preferred Qualifications

  • Experience in grant writing, evaluation, and reporting
  • Knowledge of or an understanding of Change Management best practices

Knowledge/ Skills/ Abilities

  • Strong interpersonal skills with an ability to interact with executive level, external and internal clients
  • Proficiency with Microsoft Office Suite, smartsheets, mailchimp
  • Ability to effectively prioritize multiple tasks, priorities, projects, and deadlines
  • Demonstrated presentation and communication skills
  • Excellent written and verbal communication skills for both public-facing and internal communication
  • Ability to deal with ambiguity and changing priorities
  • Strong customer/client service orientation
