SummaryThis position is located within the Business Office of a medium sized hospital with hospital based provider clinics in Claremore Indian Hospital. The primary responsibility of this position is to provide registration and eligibility services by interacting with patients to obtain and process demographic and third party resource information. The incumbent is subject to working nights, weekends, holidays and callback.

Duties
  • Determines the eligibility of patients seeking health care at the IHS facility per the OCA Eligibility Policy for services at the facility and Purchased Referred Care eligibility status by obtaining and reviewing the Certificate of Indian Blood, proof of tribal membership or descendancy, proper identification and proof of residency documentation according to IHS Guidelines. Processes outside clinic and hospital referrals and distribute to the appropriate department.
  • Responsible for the creation, maintenance and disposition of medical records. Maintaining chart and activity logs and correcting all errors and warnings. Updates medical records for life events, i.e., adoptions, marriages, name changes, deaths, etc. Scanning all documents into the medical record with accuracy.
  • Interviews all patients with excellent customer service to obtain accurate and updated patient registration information, such as demographics, Tribal enrollment, verification and entry of third party resource information and all other information requested in Patient Registration package. Educates patients on all forms (Privacy Practices, Patient Rights, Advance Directive, Personal Health Record, etc.)
that patient is required to sign and obtains signatures on documents in order for the service unit business office to bill all alternate resources for healthcare services provided, including the nonbeneficiary services. Educates patients on facility practices.
  • Performs inpatient and day surgery admissions which includes obtaining signatures on required forms and entry into the software package with proper admission status. Initiates the prior authorization process, reconciling CPT codes and DX codes with provider's orders to ensure proper reimbursement. Enters prior authorizations in the software package, working with other hospital departments when necessary to get them completed.

Measles and Rubella immunization required for selectees born after 1957 and seasonal influenza immunization is required for all staff working in Indian Health Service health care facilities.

On-call hours or standby duty may be required.

Background Investigation: If you are selected for this vacancy, you must undergo a pre-employment fingerprint check and background investigation. QualificationsTo qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
Minimum QualificationsYour resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
GS-06: receive and direct patients and visitors, answering routine inquiries, and making appropriate referral of questions concerning patients' condition, use and apply medical terminology, determine eligibility requirements for Medicare, Medicaid, Veterans' Health, and Vocational Rehabilitation, enforce and work with laws and regulations related to the confidentiality of medical records and the release of information from medical records, computerized data entry and information systems.
Typing Proficiency Requirement: Type at least 40 words per minute based on a 5-minute sample with three or fewer errors.
Time In GradeFederal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
You must meet all qualification requirements within 30 days of the closing date of the announcement. EducationThere are no education requirements.
Additional InformationPer IHS policy (SGM 21-04) IHS selectees to positions located in Federally operated hospitals, health centers, and clinics must be fully vaccinated for COVID-19 before entry on duty or have IHS approve a medical or religious exemption. If an exemption is approved then wearing a face mask and regular testing for COVID-19 will be required. Your Human Resources Specialist will provide a list of documents acceptable as vaccination proof and instructions on how to submit your vaccination documentation or how to request a medical or religious exemption, if needed.
