Project Manager Design Build - Landscaping

Hidden Creek Landscaping, Inc. is an award-winning Design/Build, Pool, and Landscaping firm serving premier clients throughout central Ohio. Founded in 1998, Hidden Creek has become a leader in upscale residential landscape transformations and a highly recognized partner for landscape design. 

Hidden Creek Landscaping is looking for an organized and driven individual to join our team as the Construction Project Manager. 

This position coordinates with the Director of Operations and Sales team to take the sold contract and implement it into production. This role includes purchasing materials, scheduling equipment and installation crews, overseeing training and safety, and coordinating with subcontractors to meet budget and goals of each project.

 Specific Job Responsibilities

  • Management of 3-4 Landscape Installation Crews from morning prep to end of day close out
  • On-site training with foreman and crew members on proper installation techniques
  • Ordering of project materials and Management and scheduling of Subcontractors
  • Communication with Director of Operations on daily and weekly production of crews and forecasting additional labor, material, or equipment as needed
  • Daily input and review of data for job costing and proper tracking of employee and job hours/materials
  • Tracking and reporting of safety issues/incidents, review of team performance, and participating in interviews for additional team member

Planning and Scheduling

· Assist with creating annual and operations forecasting plans. Create and maintain ongoing 30-day forecasting plans for upcoming labor, material and equipment by service line by time period.

· Site meetings with Sales and Team prior to work commencement for proper coordination of staff, materials and equipment (Safety-Quality-Efficiency).

·Manage the plan and upcoming work for the crew. Review completed work to ensure Hidden Creek standards are met. Inspect properties prior to scheduled service in order to properly prepare specific action plan for service. Look for issues and items missed on weekly service.

· Order materials for jobs within estimated material costs and monitor deliveries.· Adhere to the Purchase Order process.

Sales and Estimating

· Update sales daily on project progression and schedule forecasting. Assist sales team with takeoffs and review estimates. Proactively recommend enhancement opportunities to the sales team.

Equipment

· Assign equipment and tools, Audit tools weekly for presence and condition. Instruct and supervise truck and equipment audits by supervisor and crew.

· Support the mechanics program for Preventative Maintenance, repair procedures safety and function inspections, and inventory systems.

· Train and maintain equipment repair process and ensure process is followed by all team members.

Safety, Quality and Efficiency

· Train and strictly enforce all safety procedures and policies. Adhere to all paperwork and reporting requirements for accidents, injuries, and incidences.

· Conduct Safety audits on sites and consistently educate and train all staff members. Consistently inspect and review with all equipment. 

· Provide hands on training and support of crew personnel in areas such as proper operation of equipment, tools, techniques, safety, and quality standards.

· Lead weekly safety meetings and monitor safety record of crews and minimize accidents to personnel and equipment. Ensure work is performed to the level of quality required to completely satisfy each customer.

· Provide hands on training and feedback to crews as it pertains to quality control.

· Ensure proper scheduling of all crews for all functions including considerations for hours, geographic location, travel times, job types, customer preferences, equipment availability, and crew capabilities.

· Ensure that no crew is dispatched without job hours, a clear scope of work and proper equipment. Ensure crews are working safely, productively, within the scope of the contract and to Hidden Creek standards.

· Challenge the established job plans periodically and continuously improve the plans. Create new job plans before the job begins.

· Review of job costing for each project by approving all PO’s and working with Contract administrator to create final gross margin analysis. Identify low performing jobs and re-planning the work to improve performance.

· Track actual hours vs estimated or budget hours per service line per time period per manager per crew and per job. Maintain and submit tracker reports to manager weekly. Review gross margins on all completed jobs with team.

Management responsibilities

· Build the bench to develop the future leaders of the company by identifying strengths and weaknesses of your team. Develop goals and train accordingly.

· Interactive role with HR in establishing proper staffing, recruitment, interviewing and hiring of top-notch team members.

· Oversee training and certification activities and create cohesiveness within the crews through training, instruction, education, correction and follow up. Reward those standouts raising the bar for the team.

· Review and approve/deny time off requests to ensure proper production coverage and complete necessary paperwork documentation. Document employee attendance (Tardiness, sick and vacation) in LMN Time.

· Conduct reviews of all team members and communicate with, counsel, train, discipline and develop employees. Properly document coaching and performance related matters.

· Understand new hire paperwork process and other HR related positional documents including positional and divisional changes. Ensure accuracy and timely completion or all required documents.

Qualifications

  • Minimum 3-4 years experience in landscape and/or construction installation; 1-2 years experience in a supervisory position overseeing install crews
  • Experience in construction and installation of patios and walkways, outdoor kitchens and fireplaces, retaining walls, horticulture and plant installation, and basic masonry, carpentry, and irrigation
  • Proficient reading and implementing Construction Blueprints and AutoCAD Drawings
  • Ability to use computer related programs for project analysis, scheduling, labor/hours inputting and review, and material ordering
  • Experience with financial budgets, forecasting, strategic planning is a plus
  • Knowledge and/or working experience with Construction and/or Landscaping.
  • Microsoft Excel, Outlook, estimating/tracking software
  • Associate or Bachelor’s degree preferred
