High Country Search Group is Hiring an Office Operations Manager Near Greenwood, CO

Office Operations Manager

Summary: High Country Search Group is collaborating with a private family office in their search for an Office Manager.

We seek candidates with a minimum of 5 years of experience in a previous and relevant office management role.

The ideal candidate will have prior experience handling administrative duties within a family office setting and possess a deep understanding of the operations within a small family investment office.

Your Responsibilities as the Office Operations Manager :

  • Responsible for manning the front desk, serving as the initial point of contact for visitors, clients, and employees.
  • Provide administrative assistance to the VP of Finance and various members of the family; including scheduling appointments, managing calendars, and handling correspondence.
  • Assist different roles and individuals within the office, including supporting family members and leadership personnel.
  • Assist in coordinating travel arrangements, primarily focusing on flight coordination. Experience with NetJets airway is preferred, as the family frequently flies privately.
  • Create PowerPoint presentations, particularly for quarterly board meetings.
  • Document Management: Compile cohesive and confidential documents as required, ensuring accuracy and confidentiality.
  • Sort through daily mail, organize, distribute, and forward to the appropriate family member. Communicate via calls or texts to ensure packages/mail reach the correct recipient, especially as family members travel frequently.
  • Accounting Support: Scan accounting-related items and forward them to the accounting team for processing.
  • Act as a communication liaison for one of the businesses based in California and another business located in North Denver, facilitating effective communication between these locations and the office.
  • Handle various office management duties such as ordering office supplies, maintaining cleanliness by emptying the dishwasher and keeping the office tidy, as well as managing snack orders.
  • Manage IT ticket submissions and resolve IT-related issues. Take responsibility for handling all IT matters, those requested from members in the office.
  • Assist in the implementation of a property management system. Previous experience in property management would be advantageous.

Mandatory Background and Skills of the Office Operations Manager :

  • Bilingual Preferred: Ideal candidate would be bilingual in Spanish and English.
  • Capable to juggle multiple responsibilities and assist wherever needed, mirroring the team's dynamic nature.
  • Demonstrate a proactive and cheerful attitude, always ready to lend a helping hand to colleagues and tasks as required.
  • Thick-skinned: Ability to handle criticism and adversity with resilience.
  • Can-do attitude: Demonstrate a proactive and optimistic approach towards tasks and challenges.
  • Problem-solving mentality: Exhibit a proactive approach to identifying and resolving issues efficiently.
  • Experience with NetJets airway is preferred, as the family frequently flies privately.
  • Proficiency in PowerPoint: Possess advanced skills in PowerPoint to create presentations, particularly for quarterly board meetings.
