Position Summary:Hillwood Communities is seeking a skilled and motivated Administrative Assistant to provide backup support to the Executive Assistant (EA) and assist additional Communities team members with day-to-day support. The ideal candidate should have meticulous attention to detail, keen organizational skills and have a proven track record of taking initiative in a professional environment. Additionally, the individual must possess excellent interpersonal and communication skills with the ability to interact with individuals at all levels within the organization, including top executives in a high energy and fast-paced environment. Flexibility and the ability to juggle priorities is a must. Responsibilities:
Assist team with daily tasks: scheduling meetings, scanning, making copies, assisting with various projects
Assist EA with work for executives and assist team members
Assist EA with preparation for meetings, travel and speaking engagements for executive team
Assist EA with greeting and escorting guests, as needed
Assist with catering orders and set up coffee service for meetings
Order and maintain office supplies
Provide assistance in resolving copier issues
Collect signatures for Investment Summaries and Deal Point Outline's and scan to Project Manager’s/Accountants
Assist team with PowerPoint presentations
Prepare Expense Reports for members of the team
Assist EA with updating contacts for executives
Receive and distribute mail to mailboxes in copy room, prepare outgoing FedEx for team
Back-up support to the EA when needed

Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and Internet Explorer/Chrome
Advanced PowerPoint skills will be required
Technical skills will be needed to set up webinar calls in conference rooms
Ability to multi-task and assist multiple team members
Education and Experience:
High school diploma or equivalent required
Minimum 3-5 years of administrative experience required
